The Role
As Private Client Legal Secretary, you will provide high-quality secretarial and administrative support across a broad range of private client matters.
You will help ensure the department runs smoothly by preparing legal documents, managing client files, coordinating diaries and appointments and communicating directly with clients.
Many clients may be dealing with sensitive or personal circumstances, so professionalism, discretion, empathy and excellent communication skills will be essential.
Your responsibilities will include
- Providing typing, secretarial and administrative support to Partners, Solicitors and Fee Earners
- Preparing legal correspondence and documentation using digital dictation and audio typing
- Producing first drafts of documents and correspondence where appropriate
- Preparing Wills, Codicils, Living Wills and Lasting Powers of Attorney
- Preparing Deeds of Revocation, Deputyship Orders and related documents
- Supporting Probate, Estate Administration and Trust matters
- Completing relevant forms and Land Registry searches
- Binding and sewing Wills
- Managing the secure storage and retrieval of original legal documents
- Opening, maintaining, closing and archiving client files
- Preparing client care letters, terms and conditions and standard documentation
- Managing electronic documents and case files accurately
- Using legal case management and document management systems
- Managing diaries, appointments, meetings and travel arrangements
- Supporting billing, time recording and financial administration
- Monitoring compliance reports and helping maintain Lexcel standards Managing incoming and outgoing correspondence
- Communicating professionally with clients by telephone, email and in person
- Maintaining strict confidentiality at all times
About You
We are looking for an organised, accurate and dependable Legal Secretary who enjoys working in a professional, client-focused environment.
Previous Private Client experience would be highly advantageous, particularly if you have supported work involving:
- Wills and Probate
- Trusts
- Lasting Powers of Attorney
- Court of Protection matters
Applications are also welcomed from experienced Legal Secretaries from another legal practice area who are keen to build their career within Private Client law.
You should have
- Previous experience as a Legal Secretary, Legal PA or professional secretary
- Strong Microsoft Office and Microsoft Word skills
- Accurate typing and document-formatting skills
- Excellent spelling, punctuation and attention to detail
- The ability to organise and prioritise a varied workload
- Confidence working to deadlines and remaining calm under pressure
- Strong written and verbal communication skills
- A professional, sensitive and empathetic approach
- A practical, proactive and positive attitude
- The ability to work independently and as part of a team
- A strong understanding of client confidentiality
Experience using i Manage, Elite 3E, PDFDocs or Docu Sign would be beneficial but is not essential.
