We’re looking for an experienced Executive Experiences Coordinator to join a global technology organisation and help deliver high-quality executive briefings and VIP engagements. This is a highly visible, hands-on role for someone who thrives in a fast-paced environment, enjoys managing the detail, and takes pride in delivering exceptional experiences for senior stakeholders.
Responsibilities
- Coordinate and support executive briefings, VIP meetings and events, ensuring every engagement is fully prepared and professionally delivered.
- Manage the day-to-day operation and readiness of the premises, including supplies, inventory, room setups and device displays.
- Provide onsite support for executives and guests, including greeting, escorting, hospitality and concierge-level assistance.
- Coordinate logistics including catering, hotels, transportation, signage, swag and personalised guest requirements.
- Act as a key onsite contact for security, facilities, A/V, culinary and external vendors, proactively resolving issues as they arise.
- Manage relationships with suppliers and vendors, ensuring services are delivered to a consistently high standard.
- Support Executive Engagement Leads with scheduling, room and resource bookings, documentation and event preparation across multiple time zones.
- Contribute to continuous improvement of the programme, including global swag initiatives, digital event pages, tools, systems and processes.
Requirements
- 4–6+ years’ experience in executive engagement, event management, programme coordination or a similar fast-paced environment.
- Proven experience supporting senior executives, VIPs, clients or high-profile external stakeholders.
- Excellent organisational skills with strong attention to detail and the ability to manage multiple priorities and last-minute changes.
- Strong communication and interpersonal skills, with a professional, confident and service-focused approach.
- Experience working cross-functionally with internal teams, vendors and external partners, ideally within a global or international environment.
- Comfortable working onsite in a highly visible role and using tools such as Google Workspace; a proactive, self-starting approach to problem-solving is essential.
