Our national Financial Planning & Investment Management client is going through rapid expansion to become one of the major leading brands in Financial Services. They deliver sophisticated financial planning and investment management solutions through a technology-led service to enhance client experiences, whilst delivering expert levels of regulated advice.

This newly created opportunity will see you working with the Senior Executives delivering the highest levels of EA support. This is a kudos role for any highly experienced EA, with the visibility to be working in a demanding but extremely rewarding department.

Our client is seeking a highly organised and efficient Executive Assistant (EA) to provide executive-level administrative support to senior stakeholders. The role requires thriving in a fast-paced, ever-evolving environment and being eager to make a meaningful impact.

As an EA, you will be instrumental in ensuring smooth day-to-day operations by managing schedules, forward planning for upcoming meetings, and oversight of key governance meetings for senior executives and other key stakeholders.

Key Responsibilities
  • Manage and prioritise the schedules and inboxes for four senior stakeholders, ensuring appointments are organised efficiently.
  • Plan and coordinate demanding calendars, providing comprehensive support for meetings, travel, and deadlines while considering future commitments and priorities.
  • Organise and manage internal and external meetings, liaising with relevant parties to ensure all logistics are handled seamlessly.
  • Handle incoming communication on behalf of senior executives, ensuring messages are directed to the appropriate parties and responses are timely.
  • Serve as Secretary to the Investment Business, including agenda writing, formatting, and collating papers. Produce minutes and action items.
  • Serve as Secretary to support broader forums, including Distribution and Practitioners.
Business & Administrative Support
  • Travel Arrangements: Book and manage travel and transport for senior executives, ensuring smooth and cost-effective arrangements.
  • Expense Management: Assist with expense reporting for senior stakeholders, ensuring accurate submission via the Xero system.
  • Relationship Building: Build and maintain strong relationships with internal teams and external contacts, ensuring smooth communication and collaboration.
Skills and Qualifications
  • Proven experience as a Personal Assistant or Executive Assistant in a fast-paced, professional environment.
  • Exceptional organisational and time-management skills, with the ability to manage multiple priorities and deadlines.
  • Strong communication skills, both written and verbal, with the ability to interact with senior executives and stakeholders.
  • Experience producing board packs and minutes.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with Xero or similar accounting software is an advantage.
  • Strong attention to detail and high standards of accuracy.
  • Ability to maintain confidentiality and manage sensitive information with discretion.
  • Proactive and resourceful with a solutions-oriented mindset.
  • Experience coordinating events and managing travel logistics is highly desirable.
  • Ability to work effectively under pressure and in a collaborative team environment.
Additional Information

Previous experience in Financial Services is key, specifically in Financial Advice and/or Investment Management will be highly desirable. This position will be home based/flex hybrid with travel to various London. This is an award-winning, notable brand, one which is going through expansion through Private Equity investment.
