This is a senior reception and administration position with responsibility for supporting and leading an existing reception team. To be considered, you must have a minimum of 3 years' reception/administration experience AND previous experience supervising, leading, mentoring or providing day-to-day direction to other reception or administrative staff. We are deliberately looking for someone with proven experience who is ready to take responsibility for the smooth running of a busy reception function. This position is not suitable for applicants looking for their first reception/administration role or those without previous team leadership or supervisory experience. Healthcare or clinic experience would be advantageous but isn't essential if you have strong transferable experience from another busy, professional and customer-focused environment. You must have the permanent and unrestricted right to work in the UK. Applicants with a time-limited right to work cannot be considered for this opportunity.

The Role:
Are you an experienced Receptionist or Administrator who's ready for more responsibility? Perhaps you're already a Senior Receptionist, Reception Supervisor, Team Leader, Senior Administrator or Clinic Coordinator and enjoy being the person others naturally turn to when something needs sorting. We're recruiting for an established multidisciplinary healthcare clinic in Taunton looking for an experienced Senior Clinic Administrator / Reception Team Lead to join them on a full-time, permanent basis. This is not simply a standard receptionist position. You’ll remain hands-on with patients, appointments, calls and administration, but you’ll also provide day-to-day leadership and support to an existing team of two receptionists. You’ll help organise workloads, maintain high standards, support your colleagues with more complex situations and make sure the reception function runs smoothly, professionally and efficiently. Working closely with the clinic's senior management team, you’ll be trusted to identify problems, take ownership and resolve day-to-day issues rather than simply passing everything upwards. What You'll Be Doing:
- Taking responsibility for the smooth day-to-day running of the clinic's reception function
- Providing leadership, guidance and support to two existing reception team members
- Organising and prioritising reception workloads
- Helping maintain consistently high standards of patient care, communication and administration
- Supporting and developing a positive, collaborative reception team
- Acting as a point of escalation for more complex patient enquiries or situations
- Identifying day-to-day operational issues and resolving them where appropriate
- Escalating more significant matters to senior management when required
- Providing a warm, professional and efficient front-of-house service
- Acting as a first point of contact for patients in person, by telephone and electronically
- Booking and managing patient appointments
- Responding to patient enquiries and providing accurate information about clinic services
- Managing emails and other patient communications promptly and professionally
- Maintaining accurate and confidential patient records
- Processing payments and handling cash accurately
- Monitoring and replenishing clinic and office stock
- Helping maintain and improve administrative systems and procedures
- Supporting Health & Safety procedures, including fire drills and associated record keeping
- Undertaking additional administrative and operational responsibilities appropriate to a senior clinic administration role
About You:
To be considered, you’ll need:
- A minimum of 3 years' experience within reception, administration or a busy client/patient-facing office environment
- Previous experience supervising, leading, mentoring or providing day-to-day direction to other reception or administrative staff
- Experience taking responsibility for the smooth running of a reception, front-of-house or administrative function
- Confidence dealing with more complex customer, client or patient enquiries
- The ability to resolve day-to-day problems independently and know when something needs escalating
- Excellent organisational skills and the ability to prioritise competing demands
- Strong written and verbal communication skills
- A warm, approachable and professional manner
- Strong attention to detail
- Confidence using IT systems, appointment diaries, email and administrative software
- The ability to remain calm and organised within a busy environment
- A genuine understanding of the importance of excellent customer or patient experience
Even Better If:
Experience within healthcare would be particularly welcome, including private healthcare clinics, Physiotherapy or Osteopathy clinics, GP or medical practices, dental practices, hospitals or other appointment-led healthcare environments. However, healthcare experience isn't essential if you have strong transferable experience leading a busy reception or administrative team within another professional, customer-focused environment.
