Admin Officer (For Used Car)
Work Location: Alexandra Road
Salary: Up to $2,500 basic + variable bonus
Working Hours:
Monday to Friday: 9:00 AM – 6:00 PM
Alternate Saturdays: 9:00 AM – 1:00 PM
Job Overview
We are seeking a detail-oriented and organized Admin Officer to join our Used Car division. The successful candidate will be responsible for managing administrative processes related to vehicle purchase agreements (VPA), liaising with internal departments and external dealers, and ensuring timely submission and processing of documents.
Key Responsibilities
- Process and manage Vehicle Purchase Agreements (VPA)
- Liaise with financial institutions/banks to request settlement quotes and forward these to Sales Executives or Sales Support teams
- Check HPFLAS for outstanding financing and lodge Form A when applicable
- Ensure all required documents are signed and approved by Management
- Communicate confirmation quotes to dealers via fax
- Upload and manage VPA files in PCMS
- Prepare files, organize documents into brown folders, and submit them to the Finance Department
- Handle requests for full settlement re-quotes or Vehicle Delivery Requests (VDR) from Sales Executives, Finance, or Sales Support
- Manage VDR processing and submission upon vehicle handover
- Validate the accuracy and validity of settlement quotes and ensure all documentation is complete
- Issue Vehicle Sales Agreements and liaise with dealers for vehicle collection and transfer
- Ensure dealer cheques are banked in promptly
- Follow up with dealers to confirm transfer initiation and acceptance
- Notify the Finance Department once dealers have accepted transfers
- Keep PCMS records updated and close completed files for filing
- Perform any other administrative duties as assigned
Requirements
- GCE \’O\’ Level qualification (Diploma holders are preferred)
- Proficiency in Microsoft Office
- 2 years of experience in a Sales Admin or similar role in the automotive industry
