Position: Client Services Analyst
Client Service Purpose:
To support the needs of our clients and prospective clients alongside the Client Team Directors so that we can maintain and grow Record’s client base, developing new client relationships and investment consultant relationships worldwide.

Location: London Paddington-based
Role: Full time (37.5 hours per week), with Tuesdays, Wednesdays and Thursdays in the London office
Focus: Supporting client servicing and business development activity globally
Line Manager: Client Team Director
Key areas of responsibility and activities:
Support and facilitate work delegated by Client Team Directors, including servicing clients, prospects and consultants.
To assist in:
- the production of questionnaires;
- preparation of client performance reviews, due diligence meetings and prospective client pitches;
- delivering investment data and any other requests from our Client Team.
Ensure the accurate and timely production of marketing collateral and the population of consultant websites.
Conduct regular project work with the aim of improving team efficiency and/or the client experience.
Client Services work centres on servicing client, prospect and consultant needs. The role involves RFP production, investment data analysis, presentation development and proactive follow-up on actions and deliverables.
Key Result Area: Questionnaires
- Responsible for the drafting of prospective client RFPs, and consultant and existing client questionnaires as requested by Client Team Directors.
- Collect and provide data for RFP production for prospective clients by accessing appropriate systems and records, liaising with various internal departments for appropriate input, reviewing previous questionnaires and suggesting what might be useful to meet the prospective client’s requests.
- Liaises with the allocated Client Team Director to assist in overall questionnaire production and submission.
- Identify and implement process improvements to enhance efficiency, quality and consistency of outputs.
Key Result Area: Client Team Support
- Source and analyse investment data to respond to client and consultant enquiries.
- Prepare and provide materials to Client Team Directors or directly to clients where appropriate.
- Maintain accurate record keeping in accordance with marketing approval process.
- Collaborate with internal teams to ensure accurate and timely delivery of information.
Key Result Area: Communication, Branding and Marketing Collateral
- Contribute to the development and refinement of communication style and branding across all marketing materials.
- Monitor market and competitor trends and propose improvements to messaging and collateral.
- Support the maintenance of a professional and appropriate external presence, including social media where relevant.
- Ensure the accuracy and timeliness of production of marketing collateral.
Key Result Area: Relationship Management (Internal and External)
- Develop strong working relationships within the Client Team and across the wider business.
- Act as a reliable and responsive point of contact for internal stakeholders on client and marketing-related queries.
Key Result Area: Consultant Database Management
- Maintain and update consultant databases (including eVestment and similar platforms), ensuring all performance, AUM and product information is accurate, consistent and timely.
Key Result Area: Technology, AI and Knowledge Management
Champion the effective use of technology and AI within the Client Team to drive efficiency, consistency and quality of output.
Promote best practice use of tools and processes, ensuring the team is aware of and adopting the latest developments, high-quality examples and standardised responses.
Develop and maintain a centralised repository of questionnaires, RFP responses and supporting materials, ensuring data is well-organised, accessible and systematically reused.
Drive continuous improvement by embedding knowledge-sharing practices and ensuring past outputs are leveraged to improve accuracy, speed and overall team performance.

Demonstrate awareness of pipeline activity, client priorities and broader commercial objectives, and apply this understanding to support effective client servicing and business development activity.

- Deliver questionnaire and RFP submissions within agreed timelines and with a high level of accuracy.
- Maintain consultant databases and supporting materials so that information remains current, complete and reliable.
- Contribute to continuous improvement initiatives that enhance team efficiency, consistency and quality of output.
- Support strong internal and external stakeholder relationships through responsive, professional and accurate delivery.
