This role plays a central part in ensuring individuals can access the groups and services that make a real difference to their wellbeing. As our Referral Coordinator, you will be the friendly and reliable first point of contact for new referrals, guiding people through the process with clarity, compassion, and efficiency. You’ll help create welcoming, inclusive pathways into our groups and befriending services, ensuring each person is matched with the support that best meets their needs. By keeping our referral processes running smoothly, maintaining accurate records, and working closely with our Group Development Coordinator and Volunteers Manager, you’ll play a vital role in helping individuals across Gloucestershire feel confident, connected, and ready to take their next step.

What You’ll Do

  • Process incoming referrals, ensuring all documentation is complete, accurate, and up to date.
  • Support individuals without internet access by completing referral forms over the phone.
  • Liaise with referrers (carers, family members, healthcare professionals) to clarify information or request missing details.
  • Work closely with the Groups Coordinator and Volunteers Manager to confirm service availability and allocate suitable places.
  • Allocate participants to appropriate groups or befriending services and notify the Volunteers Manager of any required Initial Visits.
  • Maintain accurate referral records in the Upshot database and manage reminder email lists.
  • Provide clear and timely communication to referrers and participants regarding referral progress and outcomes.
  • Gather and record feedback after a participant’s first group session.
  • Monitor participant engagement via Upshot, follow up with those who have not attended, and assess ongoing support needs.
  • Provide administrative and operational support to the Groups Coordinator and Volunteers Manager during quieter periods.
  • Assist with inputting and maintaining group registers to ensure accurate attendance data.
  • Provide occasional in‑group support or cover at groups across Gloucestershire as required.

About You

  • A genuine passion for empowering individuals and building inclusive communities.
  • Excellent interpersonal and communication skills, with the ability to listen.
  • Strong IT skills, including proficiency in email, Microsoft Office Suite (Word, Excel, Outlook).
  • A proactive and adaptable approach, with the ability to work independently and as part of a team.
  • Strong organisational and time‑management skills, with the ability to prioritise tasks effectively.
  • Access to your own transport for travel across Gloucestershire (mileage expenses covered).
  • Experience working in the voluntary, community, and social enterprise sector.
  • A good understanding of the statutory and community‑sector landscape in Gloucestershire.
  • Experience working with individuals affected by disabilities or long‑term health conditions.

What We Offer

  • 7.5 hours per week – flexible working hours (to be agreed), including 4 hours office‑based and 3.5 hours flexible working.
  • Fixed‑term contract until June 2027, with the potential for extension subject to funding.
