Mill Street Ltd. is a property management company that owns and manages a commercial property jointly with DAPCO (via SIPPs pension schemes). We handle tenant invoicing for rent, service charges, and utilities, alongside property-related expenses, service charge reconciliations, and VAT obligations.
We are seeking an experienced freelance bookkeeper with property management expertise to support the financial operations of the business on a part-time, remote basis.
Key Responsibilities
Tenant Management
- Raise and send invoices for rent, service charges, and utilities.
- Handle tenant queries relating to financial matters.
- Monitor payments received and follow up on outstanding balances.
Supplier Management
- Process supplier invoices and ensure timely payments.
- Maintain accurate records of property-related expenses.
Financial Operations
- Manage cash flow and bank reconciliations.
- Record and reconcile intercompany balances accurately.
- Process accruals, prepayments, and necessary adjustments.
VAT & Compliance
- Check VAT and submit quarterly VAT returns for Mill Street Ltd.
- Ensure all VAT obligations are met on time and recorded accurately.
Reporting
- Prepare month-end financial reports for directors.
- Support with pension/SIPP-related financial reporting where required.
Other Duties
- Carry out annual service charge reconciliations.
- Provide additional bookkeeping support as required.
Skills, Knowledge and Expertise
Skills & Experience Required
- Proven experience in property management bookkeeping.
- Proficiency in Xero (essential).
- Strong knowledge of accruals, prepayments, intercompany transactions, VAT returns, and service charge reconciliations.
- Excellent attention to detail, with confidence handling tenant queries.
- Organised, proactive, and comfortable working independently as a remote freelancer.
