The Apprenticeships Department oversees a range of apprenticeships at Reaseheath College, from Level 2 (intermediate) through to Level 5 (degree) in courses from Agriculture through to Food Technologist, or Rail Engineering.
About the role
Our Apprenticeship Department has an exciting opportunity for a proactive and organised Apprenticeship Records Administrator. The purpose of this role is to audit, process and accurately maintain apprenticeship records on the learner management system, ensuring data integrity, compliance with funding requirements and that apprentices, employers and internal teams receive clear and timely information and support. You will work closely with a range of internal and external stakeholders, supporting complex apprenticeship processes and ensuring records, invoices and payments are managed efficiently and accurately.
Key responsibilities
- Maintain accurate, compliant apprenticeship records on the learner management system.
- Raise and process employer invoices and incentive payments on time.
- Support apprentices, employers and colleagues with clear guidance and system support.
- On-board learners and employers to apprenticeship systems, including DAS and End Point Assessment activity.
- Ensure records meet audit, funding and GDPR requirements.
The successful candidate will
- Have Level 2 Maths and English (GCSE Grade C or equivalent).
- Have Level 3 qualification or equivalent experience.
- Have experience of handling learner records on a Learner Management System (preferably PICS) is desirable.
- Have experience of reviewing and/or reconciling data.
- Have knowledge of ESFA funding requirements and systems linked to Apprenticeships (Funding Guidance, DAS, EDRS, Awarding Organisations) would be desirable but not essential.

Additional information
This role constitutes 'regulated activity' as defined by the Protection of Freedom Act 2012. The successful candidate will therefore be required to undertake an enhanced DBS check with barred list information prior to starting employment. You must also have the right to work in the UK and will be required to provide evidence to support this. In addition, online checks will be carried out during the recruitment process. This post is exempt from the Rehabilitation of Offenders Act (ROA) 1974.
