  • Coordinate post-closing items and prepare transaction reports and interdepartmental communications.
  • Arrange the preparation and delivery of notices to tenants and third parties as instructed.
  • Manage records retention and filing across SharePoint and internal and external drives.
  • Maintain accurate trackers for transactions, legal costs, and other legal information.
  • Coordinate legal invoice collation, tracking, and related follow-up.
  • Collate responses and supporting documentation for KYC/AML requests.
  • Coordinate and liaise with outside counsel and other advisers.
  • Prepare tenant welcome letters and support routine lease activity, including licences, easements, and releases, as instructed.
  • Arrange large meetings and provide printing, copying, postal, and document-distribution support.
  • Attend European Legal group and wider Legal Department meetings.
  • Communicate with Company lawyers, paralegals, and Environmental, Technical, and Lease Abstraction teams on the status of assigned matters.
  • Correspond as needed with outside counsel, advisers, tenants, service providers, and internal employees.
  • Handle other requests for legal administrative and operational support as assigned.

Qualifications

We would expect the successful candidate to have:

  • At least three years of relevant professional experience and/or training.
  • Experience working in a legal environment.
  • Familiarity with lease and property documentation and terminology.
  • Strong organisational and administrative skills, with a high degree of accuracy and timeliness.
  • The ability to prioritise a large workload, manage competing deadlines, seek guidance appropriately, and work independently.
  • Proficiency in Microsoft Excel, Word, Outlook, SharePoint, and other Microsoft Office applications.
  • Strong internet research capability.
  • Clear written and verbal communication skills, including the ability to compose correspondence and reports from brief instructions.
