Position Overview: The Property Management Analyst will provide administrative, clerical, and project support to the Property Management team, supporting multiple property managers within a large portfolio.
Key Responsibilities:
- Property Management Tasks: Support day-to-day property management operations.
- Special Projects: Engage in special assignments, demonstrating problem-solving and creativity.
- Policy Implementation: Assist in rolling out policies and procedures.
- CapEx Administration: Support major works and capital expenditure projects.
- Vacant Unit Management: Oversee vacant units, including business rates, utilities, security, repairs, and maintenance.
- Lease Review: Conduct lease reviews for compliance and improvement opportunities.
- Tenant Applications: Process tenant applications, licenses, subleases, and agreements.
- Inspection Coordination: Arrange and conduct property inspections.
- Financial Collaboration: Manage invoices and coordinate with finance for payments and cost allocation.
- Work Order Monitoring: Track work orders and update Property Managers.
- Asset Value Enhancement: Support initiatives to preserve and increase asset value.
- Communication Management: Handle post, LOAs, addendums, and welcome letters.
- Fee Tracking: Monitor and invoice Property Management fees.
- Compliance Management: Issue non-compliance letters and manage tenant obligations.
- Ground Rent Management: Oversee ground rent payments.
- Insurance and Damage Administration: Handle insurance queries and damages.
- Tenant Support: Respond to tenant requests.
- Business Rates Administration: Assist with business rates data.
- Arrears Management: Support rent and service charge arrears resolution.
- Scheduling and Travel Coordination: Assist with scheduling and travel logistics.
- Dilapidations Administration: Support dilapidations management.
- System Updates: Maintain property management systems.
- Sustainability Initiatives: Contribute to environmental efforts.
- GDPR Compliance: Ensure data handling complies with GDPR.
- Vendor Liaison: Coordinate with external partners.
- Service Charge Management: Oversee service charges.
- Internal Reporting: Prepare reports for internal use.
- Additional Duties: Perform other tasks as assigned.
Candidate Requirements
- Experience in commercial real estate or property management, either from consultancy or client side.
- Experience with commercial real estate documentation, including leases and licenses.
- Intermediate Excel skills for data analysis and presentation.
- Ability to handle a high volume of work, meet deadlines, and work under pressure.
- Excellent organizational, coordination, and administrative skills.
- Strong communication and written skills.
- Ability to work independently, prioritize, and adapt quickly.
- Desirable but not essential: Bachelor’s degree in Real Estate or equivalent experience.
- RICS qualification.
- Knowledge of a second European language.
- Experience with Salesforce or Yardi systems.
