The Sales Operations Executive is responsible for supporting the sales and operations functions through efficient management of quotations, orders, renewals, vendor relationships, customer communications, export administration and operational processes. The role acts as a central coordination point between customers, account managers, vendors, distributors, logistics providers and internal teams to ensure exceptional customer service and operational excellence. The Sales Operations Executive will support the full customer lifecycle, from quotation and procurement through to delivery, renewals, licensing and returns management. The role requires strong organisational skills, attention to detail, commercial awareness and the ability to manage multiple priorities in a fast-paced technology environment.
Ideal Candidate
- 3+ years’ experience in sales support, sales operations or client services.
- Experience within an MSP, software reseller or technology provider.
- Strong commercial awareness.
- Experience managing quotations, orders and renewals.
- Excellent customer service skills.
- Strong organisational and administration skills.
- Experience with vendor relationships and pricing negotiations.
- Knowledge of software licensing would be advantageous.
- Knowledge of exports and international shipping would be advantageous.

Key Responsibilities:
- Sales Operations & Customer Support
- Prepare customer quotations and proposals.
- Convert quotations into sales orders and purchase orders.
- Support Account Managers with pricing and vendor sourcing.
- Maintain accurate customer and opportunity records within CRM and ERP systems.
- Process customer orders accurately and efficiently.
- Provide proactive updates to customers throughout the order lifecycle.
- Assist with customer onboarding activities.
- Manage departmental inboxes and customer enquiries.
- Book, manage and conduct regular business and service reviews with clients to assess satisfaction, identify improvement areas, and explore new opportunities.
- Complete Due Diligence Security questionnaires.
- Renewals & Licensing
- Manage software and service renewals.
- Ensure renewal quotations are issued at 90 days before expiry.
- Track renewal opportunities and follow up with customers.
- Process licence amendments, reductions and cancellations.
- Work closely with vendors.
- Vendor & Supplier Management
- Build relationships with vendors and distributors.
- Source competitive pricing and availability.
- Negotiate commercial terms where appropriate.
- Ensure rebate eligibility and compliance requirements are met.
- Support supplier onboarding and due diligence activities.
- Export & Logistics Administration
- Prepare export documentation.
- Manage duty calculations and landed cost estimates.
- Support export compliance processes.
- Coordinate courier bookings and international shipments.
- Liaise with freight forwarders and customs agents.
- Process Certificates of Origin and export documentation.
- Manage delivery tracking and customer delivery updates.
- Review freight invoices and delivery charges.
- Returns & RMA Management
- Manage customer return requests.
- Coordinate RMA processes with vendors.
- Arrange collections and replacements.
- Track outstanding returns and credits.
- Escalate delayed or problematic returns.
- Reporting & Systems
- Produce sales and operational reports.
- Maintain CRM and ERP data accuracy.
- Monitor open orders and backorders.
- Produce renewal forecasts and pipeline reports.
- Support process improvement initiatives.
- Assist with implementation and optimisation of operational systems.
