Job Summary: This role will partner with and support the Talent Acquisition recruiting team with candidate sourcing and scheduling. A critical function of the role will be managing the scheduling of candidates with various business leaders in a challenging and complex environment. This role will also be called upon to review candidates, conduct phone screenings, and proactively source candidates. With guidance from TA leadership, this role will support talent acquisition for our global team with an emphasis on assigned functional areas as needed.
Responsibilities:
- Proactively source candidates through various channels: internal movement, university relations, candidate pipelines, networking, internet job postings, employee referrals, external partners and other creative sourcing venues.
- Screen, assess and present candidates to TA Leader and hiring manager to move forward with the interview and selection process.
- Assist in special projects as needed.
- Ensure business trackers are kept up to date and are aligned with the live status of open requisitions.
- Candidate management; provide continuity for each candidate, hosting them through the process, and ensuring follow‑up and feedback.
- Work with the hiring manager and Talent Acquisition to craft interview schedules to minimize the number of interviews for the candidate.
- Schedule interviews—anticipating changes in interviewers’ availability and making alternative plans in advance.
- Send reminders to keep everyone informed.
- Post jobs and keep the Applicant Tracking System totally up to date with referrals, CVs, feedback and notes.
- Review CVs in the Applicant Tracking System and screen candidates when appropriate.
- Gather and post interview feedback in the Applicant Tracking System.
- Track response time, making sure the process keeps moving for each candidate.
- Take notes in meetings and ensure follow through.

Required Skills & Experience:
- Previous experience with scheduling or diary management.
- Some experience in talent acquisition including candidate sourcing, attraction, selection and assessment methods.
- Strong computer skills with Word, Excel, PowerPoint, and Outlook and familiarity with ATS systems, Zoom and Teams.
- Sympathetic, mature, and professional communication with all levels of management.
- Able to balance working independently as well as in a collaborative team environment in a fast‑paced energetic culture.
- Demonstrated ability to build and provide reliance and trust.
- Exceptional organisational skills, follow‑through and attention to detail.
- Proven ability to manage multiple tasks/projects effectively.
- Deadline and results driven within team environment.
- Must demonstrate exceptional judgement, discretion and professional courtesy.
