Job Summary
Real Chemistry is looking for an Executive Assistant to join our team, providing high‑impact support to five of our senior business leaders and helping keep our fast‑paced, high‑performing organisation running smoothly.
What you’ll do:
- Daily, weekly, monthly, and quarterly calendar maintenance, management, and communication for the Executive Leadership Team (ELT).
- Schedule and set up meetings for internal teams, clients, and events.
- Set up conference calls and videoconference events.
- Prepare and distribute documents.
- Handle all travel arrangements, itineraries, accommodations, and transportation.
- Manage and track phone calls and correspondence to and from executives.
- Maintain Microsoft Outlook contacts.
- Submit and track expense reports; reconcile credit card charges.
- Conduct research and obtain requested information for the executives from staff and external parties.
- Keep files and archives organised online and offline.
- Produce Word documents and PowerPoint presentations; provide new‑business pitch support.
- Serve as point of contact for specific clients, including coordination of calls and tasks.
- Work closely with the Talent Acquisition Team to schedule candidate interviews.
- Collaborate with the administrative team to ensure seamless and efficient support across the company.
- Assist with personal travel arrangements and appointments.
- Support front‑office reception as needed.
- Other duties as assigned.

- BS or associate’s degree in business management or related field (preferred but not required).
- Executive administrative experience supporting top level executives.
- Professional presence and appearance.
- Resourceful and intuitive problem‑solver with proactive solutions and strategies.
- Ability to recognise and appropriately handle highly sensitive and confidential materials.
- Sense of urgency and client‑service orientation.
- Understanding and support of Real Chemistry’s goals, strategies, vision, and culture.
- Good judgement in setting priorities for independent work and in scheduling and supporting executives.
- Effective teamwork with the administrative team.
- Meticulous attention to detail, flawless organisation and multi‑tasking, producing high‑quality work.
- Excellent writing and editing skills; articulate oral communication skills, in person and on the phone.
- Strong work ethic and sound judgement; calm, pleasant demeanour, even under pressure, and an eagerness to learn.
- High proficiency with Microsoft Word, Excel, PowerPoint, Outlook, and internet research.

For employees who are within an hour of one of our offices, we expect attendance in the office two days per week, either at a Real Chemistry office or onsite with clients. We are not looking for attendance for the sake of attendance but believe that the opportunity to coordinate in‑office team meetings, 1:1 meetings with managers, taking advantage of on‑site learning, and connecting with client partners is critical to delivering on our purpose of making healthcare what it should be. Outside of these offices, we have regions where people work remotely but come together quarterly for collaboration, culture and learning opportunities.
