Reading Students’ Union (RSU) exists to represent, support, and enhance the experience of students at the University of Reading. Through a combination of representation, activities, and commercial services, RSU reinvests income back into services that directly benefit students. Our commercial operations play a vital role in generating sustainable income while delivering high-quality, student-focused experiences across our venues, events, and services.

Location: University of Reading, Whiteknights Campus, Reading, Berkshire

Salary: Circa ÂŁ26,724.79

Contract: Full Time - Permanent, 37.5 hours per week (annualised). Evening and weekend working required.

Reports to: Business Development Manager

Responsible for: External partners; student staff as required

Role Purpose

The Events and Partnerships Coordinator is responsible for the coordination, delivery, and administration of events, entertainments, media, and advertising partnerships at Reading Students’ Union. The role supports commercial income and diversification targets by ensuring that events, bookings, and partnerships developed through business development activity are delivered effectively, professionally, and to a high standard, acting as the bridge between commercial opportunity and successful execution.

Key Responsibilities

  • Commercial Delivery & Income Support
    • Deliver events, entertainments, room bookings, and partnerships in line with agreed commercial plans and income targets.
    • Support the conversion of sales enquiries into confirmed bookings and partnerships through effective coordination and follow-up.
    • Prepare quotes and proposals for events, room hire, media, and advertising opportunities.
    • Liaise closely with the Business Development Manager on pricing, costs, and commercial viability.
  • Media, Advertising & Partnerships
    • Lead on the delivery and fulfilment of all media and advertising partnerships, including on-site advertising, digital opportunities, sponsorships, and activations.
    • Act as the primary operational and administrative contact for advertisers, sponsors, promoters, suppliers, and venue hirers.
    • Ensure partnership agreements are delivered in line with agreed terms and timelines.
  • Events, Entertainments & Freshers’ Fairs
    • Coordinate the delivery of events and entertainments across RSU venues.
    • Lead on the commercial coordination and delivery of Freshers’ Fairs, including stallholder bookings, communications, and support.
    • Manage room hire, conference, and event bookings from enquiry through to delivery.
  • Administration & Coordination
    • Maintain accurate and up-to-date records for events, bookings, media partnerships, and advertising agreements.
    • Manage venue calendars, room bookings, and event schedules.
    • Ensure contracts and booking documentation are completed, approved, and stored appropriately.
    • Coordinate with internal teams to support effective delivery.
  • Customer & Partner Experience
    • Act as a professional, responsive, and organised point of contact for customers and partners.
    • Ensure enquiries, changes, and issues are handled promptly and professionally.
    • Support the delivery of a consistently high-quality experience.

Person Specification – Events and Partnerships Manager

Essential Experience

  • Experience coordinating and delivering events, entertainments, conferences, or room bookings.
  • Experience working with external partners such as promoters, advertisers, sponsors, suppliers, or hirers.
  • Experience supporting income-generating activity.

Skills & Knowledge

  • Excellent administrative and organisational skills.
  • Strong IT skills, including booking systems and spreadsheets.
  • Understanding of commercial processes, pricing, and invoicing.
  • Strong written and verbal communication skills.
