About The Royal College of Surgeons of Edinburgh

The Royal College of Surgeons of Edinburgh is an independent membership organisation dedicated to the education, training and advancement of surgeons, dental surgeons, doctors, and various individuals throughout healthcare who are involved in the surgical care of patients. The College has a current membership approaching 33,000 and growing, with members spanning over 100 countries around the world.

From our founding in 1505, the College has been committed to the advancement of surgery and driving patient safety standards worldwide. In our 520-year history, there has never been a better time to work for the College than now.

Working with us

We aim to embrace views from across our organisation, sharing common goals and values for the betterment of healthcare through the advancement of surgical and dental professionals. We aim to develop teams that are reflective of the needs of our members and maximise the potential of every employee.

To reflect varying needs across the organisation, we offer a range of policies and benefits for our workforce including a generous 42 days annual leave, flexible working practices, enhanced employer pensions contribution and various discounts throughout the College including the Ten Hill Place Hotel, 1505 Café and free entry to Surgeons’ Hall Museums.

About the Role

We are looking for a Faculties Administrator to join our team, providing essential administrative support across our six Faculties. You will help keep activities running smoothly and provide a friendly, professional service to members, volunteers and colleagues who support our work to advance education, professional standards and patient care.

As an international membership organisation, we offer the opportunity to work with members, volunteers and colleagues from a wide range of countries and cultures, building relationships and learning from different experiences and perspectives.

Your work will be varied, from arranging meetings, preparing papers and taking minutes to maintaining records, responding to routine enquiries and supporting events. You will also help process purchase orders, invoices and expenses under guidance. Reporting to a Faculties Development Manager, you will work closely with Coordinators and Development Leads, knowing when to ask for support or pass on more complex queries.

This is an opportunity to build your administrative experience in a professional membership organisation. You will learn about committee support, membership processes and event administration, with a full induction, training and ongoing support to help you settle into the role.

You will join a team that enjoys working together and values the contribution each person makes. We encourage people to share ideas, suggest practical improvements, learn from one another and celebrate success.

The role involves office and hybrid working, with a minimum of two days in office per week, with occasional travel for meetings or events and occasional evening or weekend work that is planned well in advanced.

If you have read this advert and are excited by the opportunity but do not meet every single criterion, we would still encourage you to apply. We know that great people do not always tick every box, and we are committed to supporting talented individuals to grow into the role.

What matters most is your attitude, values and potential. We are looking for someone who is curious, resilient, adaptable and motivated by making a difference.

Key Accountabilities and Responsibilities

  • Support committee meetings: scheduling, papers, logistics, and minute taking.
  • Maintain records, registers, and filing systems across governance and membership activity.
  • Manage shared inboxes, respond to routine enquiries, and escalator complex queries to the Coordinator.
  • Process purchase orders, invoices, and expenses under guidance.
  • Support delivery of Faculty events and volunteer activities: bookings, communications, and pre/post-event administration.
  • Liaise with internal teams to support consistent processes.

Experience, Qualifications and Key Skills

We are looking for someone who is organised, approachable and takes pride in getting the details right. You will enjoy helping others, be comfortable managing a varied workload and be willing to learn. We welcome applicants with relevant transferable experience.

You will bring:

Administrative experience in a professional, education or membership setting.

  • Strong organisational skills, accuracy and the ability to manage competing priorities and deadlines.
  • Clear written and verbal communication skills and a helpful approach to colleagues, members and volunteers.
  • A good general education to HNC/HND level, or equivalent experience.
  • Confidence using Microsoft 365, including Teams, Outlook, SharePoint and Excel.
  • The ability to work on your own tasks and contribute positively to a team, asking for guidance when needed.
  • Professionalism, reliability and discretion when handling sensitive information.
  • Experience supporting meetings, committees or events would be helpful, as would knowledge of membership or governance processes. An administrative or business support qualification, or experience in healthcare, charity or public sector environments, would also be welcome, but these are not essential.

If you enjoy providing reliable support and helping a team deliver a good service, we would love to hear from you.

We want our team to reflect the diversity of the people and communities we work with, and welcome applications from people of all backgrounds and experiences. We are committed to creating an inclusive workplace where everyone feels respected, supported and able to contribute.

We do not expect you to arrive with every skill or all the experience listed. We value what you can bring, including transferable skills, curiosity and a willingness to learn. If this role interests you, we would love to hear from you. We will invest time in your development, with training, encouragement and practical support to help you build confidence and grow in the role.

Please note that sponsorship will not be offered for this role.
