The predicted salary is between 45000 - 55000 £ per year.

You will provide Executive Administrative and Business Management support to the VP, Technology Infrastructure (TI) Business Aligned Services / Head of TI Europe & Asia, plus senior leadership team. This is a permanent, full-time role and requires 4 days in the 10 Fenchurch Avenue, London office.

What will you do?

  • Develop and run the Administrative Office for the function.
  • Assist VP, plus Head of Service Delivery EU&AP by administering the execution of tactical and strategic mandate.
  • Manage complex calendars, prioritising critical meetings and resolving scheduling conflicts.
  • Prepare briefing materials, agendas, and follow-up actions for internal/external meetings.
  • Coordinate travel logistics (itineraries, visas, accommodations) and expense reporting.
  • Comprehensive diary management across multiple time zones.
  • Headcount management and tracking; onboarding of new joiners and managing leavers process.
  • Create and develop visual reports to support interaction with senior stakeholders and senior service providers locally and globally.
  • Track output from stakeholder meetings, see follow up and action.
  • Work closely with Business Management Team to develop and run internal communication plans.
  • Initiate and run small projects on behalf of the Office to improve engagement and service delivery including training compliance, fulfilling real estate requirements and coordinating volunteering and charitable efforts.

What do you need to succeed?

  • Must-have: Extensive experience in office management and administration. Demonstrable experience in a service-oriented environment where fast-paced, accurate problem solving can be demonstrated. Motivated by accelerated change and ready to embrace it enthusiastically. Experience creating and building reporting up to board level.
  • Nice-to-have: Understanding of finance sector and technology is preferred. Background in Business analysis would be advantageous. Some exposure to project management and understanding of financial reporting useful.
