What is the opportunity?
We have an exciting opportunity for a Wealth Administrator to join the Wealth Management team in our London office on a permanent basis.
The role involves day‑to‑day administration of clients' accounts and supporting Wealth Managers and their Associates. The successful candidate will provide excellent service to colleagues and clients, thrive in a busy environment, and work to tight deadlines.
Responsibilities
- Communicate with Wealth Managers and their Associates to provide support with administration duties.
- Communicate (written and verbal) with clients and third parties – solicitors, accountants, SIPP and offshore bond providers, and IFAs.
- Arrange mail merges via post and email.
- Book and record client advice review calls and meetings, and process risk questionnaires.
- Prepare and process client advice proposals and reviews in line with team processes, liaising with the Business Standards Department for remediation.
- Process new and existing client documentation for individuals, trusts and corporate accounts, including account opening/closing, W8 Bens, fee amendments, and other required forms.
- Generate reports, track transfers in/out via the internal custody and settlement system (Avaloq), process domestic and international payments, and manage ISA subscriptions and APS transfers.
- Maintain accurate client records in the CRM system and team databases, resolve change logs, record new business opportunities and escalating operating events.
- Oversee and monitor asset/cash transfers from other institutions via the transfer dashboard.
- Collaborate with teams across London and regional offices to share best practice.
- Take responsibility for remediation projects and guide the team to timely completion.
- Adhere to Conduct Risk standards.
Must‑have qualifications
- Intermediate knowledge of Office 365 Suite and Outlook.
- Excellent attention to detail.
- Proactive, solution‑focused individual.
- Track record of extensive secretarial and administrative experience in a client‑facing wealth management team.
- Strong client service record.
- Experience communicating with clients and third parties and resolving basic day‑to‑day queries.
- Ability to build a clear understanding of all business areas and maintain an effective network across the business.
Nice‑to‑have
- Awareness of MiFID II legislative framework.
- Experience writing client advice reviews and proposals.
- Familiarity with Client Engage, Avaloq, Eximius and Power BI.
