We have an exciting opportunity for a professional and client‑focused Receptionist to join our team in the Manchester office. As the first point of contact for our valued clients, you’ll play a pivotal role in delivering exceptional service and creating a welcoming atmosphere that reflects our commitment to excellence.
Responsibilities
- Meeting and greeting clients, offering refreshments, and ensuring rooms are available.
- Handling telephone enquiries and ensuring they are dealt with effectively.
- Liaising with contractors or couriers visiting the office.
- Car park management for allocated spaces.
- Booking meeting rooms through Teams/Outlook calendar.
- Processing invoices through the COUPA system.
- Maintaining the office calendar with all internal and external appointments for all colleagues.
- Email management.
- Dealing with incoming post, saving using the electronic filing system and distributing to the office.
- General electronic filing and any other appropriate duties that may be required.
- Arranging refreshments/lunches when required.
- General office duties – ensuring fridges are fully stocked, coffee machines are set up and the meeting rooms are tidy.
- Issuing security passes for staff and visitors.
- Providing support to the team with regards to parking/travel/hotel arrangements, checking, and sending confirmations.
- Health and Safety / Fire Safety roles.
- Ordering stationery supplies to ensure sufficient stock.
- Other ad‑hoc duties as and when required.
Qualifications
Must‑Have
- Previous experience working within a reception environment or a client‑facing role; highly client‑driven and able to build and maintain professional relationships with colleagues.
- Experience in delivering a consistently elevated level of customer service.
- Experience with MS Word/Outlook/Excel.
- Professional telephone manner.
Nice‑to‑Have
- Adaptable and able to deal with the changing needs of the business.
- Knowledgeable and competent in navigating technology‑based systems.
