We are looking for a diligent Executive Assistant to Board to join our growing team. This is a full-time, office-based role. Should you choose to accept, your responsibilities will encompass:
- Diary management, assessing priority of appointments and reallocation as necessary.
- To prioritise and monitor incoming post, emails, phone calls etc., personally dealing with issues and where necessary chasing up outstanding actions.
- To prepare and check outgoing internal and external correspondence and reports, including confidential and sensitive information.
- To deliver the highest standard of client care both internally and externally.
- To collate research and information.
- To organise visits, events, and meetings, and coordinating the briefing material.
- Arrange travel and accommodation in line with time management pressures.
- Establish, maintain and review office systems and ensure that all issues are dealt with appropriately in the board member’s absence.
- Attend various meetings, producing agendas/minutes and reports where necessary.
- Provide cover for the CEO’s Executive Assistant during periods of absence.
- To ensure the accurate and timely processing of board members' credit card submissions and receipts.
- Assist with the answering of phones for visitors and general enquiries.
- Provide support to the business support function during periods of absence.
- Be part of the company's social committee to support, run and arrange company social events.
Our ideal candidate will have previous administrative experience and take pride in delivering a five-star level of support.
Previous experience of working in administrative, office support, customer service, coordination, or similar organisational role.
Experience of working with data and information both of a confidential and/or sensitive nature.
Experience in managing multiple tasks and competing priorities in a fast-paced environment.
Strong IT skills in Microsoft Office Suite, particularly Excel, Word, Outlook and PowerPoint.
Excellent organisational skills.
Ability to work under pressure to agreed deadlines and adapt to change.
Ability to build strong relationships with others.
Approach work positively with a can-do attitude and takes responsibility for tasks.
