The Role
To provide a range of efficient, effective and confidential executive support services to assist the Regional Director to carry out their role within the Group.
Outcomes of the Role
- Diary management– managing conflicting demands, recognising the importance and relevance of meetings and the ability to prioritise. Booking both internal meetings and client reviews
- Taking minutes, drafting presentations for internal audiences, collating contributions from direct reports and other submitters.
- Provide a range of administrative support services including creating and maintenance of management information, spreadsheets and databases, as well as drafting client correspondence on a regular basis
- Arranging travel and accommodation
- Proactive and effective email management
- Meeting preparation for internal and client meetings
- Dissemination of information to relevant parts of the region
- Working with the office heads on a regional level and also other regional heads and their EAs, as well as the business management team
- Working with a team of secretaries in Bournemouth and helping to provide holiday cover where necessary
Knowledge & Experience
- Prior experience in an assistant or secretary role
- Proficient in Excel, Word, PowerPoint, MS Teams
- Excellent attention to detail and accuracy
- Excellent time management and organisation skills
- Able to build relationships, navigate politics and be confident with talking to clients on the telephone
- Able to use initiative, set own objectives and targets and commit to the delivery of these
- Must be discreet and comfortable dealing with confidential information
- Broad knowledge of Executive’s business area and Rathbones overall (once in role)
