We are looking for an Events Coordinator to join our Rapport team, based in the City of London. You will be part of a large and diverse team that supports our client: a Fortune Global 500 company, where excellence and creativity are the norm every single day. Join our energetic and established Events team and play a key role in helping our customers to have the best events planning experience, right from the enquiries stage up to the planning and the event day.
Type of contract: Full-time, Permanent
Hours: 40 per week (Monday-Friday; shift rota basis 7 AM β 7 PM, with flexibility based on client needs)

Main responsibilities
- Client Engagement & Communication: Serve as the first point of contact for Hosts, Bookers, and Guests, offering a warm welcome, area introductions, and responding to enquiries to ensure excellent customer satisfaction.
- Event Planning & Coordination: Take full ownership of event logistics from booking through delivery and follow-up, coordinating with clients and stakeholders throughout.
- Collaboration & Partnerships: Work closely with service providers (e.g., catering, hospitality, workplace teams) to manage event needs including diary management, food & beverage, and space allocation.
- On-Site Event Execution: Oversee day-of event operations, directing support staff and ensuring all setup (e.g., seating, AV, signage) meets safety and customer requirements.
- Administrative & System Management: Handle event-related documentation and logistics using event management software, including registration, name badges, invoicing, and close-out tasks.
- Event Innovation & Problem-Solving: Proactively troubleshoot, solve technical issues, and contribute creative ideas to deliver exceptional event experiences.
The ideal candidate will

- Have 2 years minimum Event Planning/Coordination experience
- Be proficient in business administration.
- Have experience using event management software programs such as Delphi or Salesforce (preferred).

- Possess excellent interpersonal skills on all levels.
- Have a high level of attention to detail.
