Overview
We are a fast-growing fulfilment centre working with over 60 e-commerce brands across the UK and Europe. We are looking for a proactive and detail-oriented Finance Officer to manage the day-to-day finance operations, ensure accurate invoicing and reporting, and take ownership of customer and supplier credit control.
This role is key to maintaining strong financial health across the business, from cash flow management and payroll to credit control, VAT compliance, and client billing accuracy.
Key Responsibilities
Payroll & Staff Costs
- Process payroll and collect/verify staff timesheets.
- Ensure pension contributions and statutory deductions are accurate and compliant.
Invoicing & Credit Control
- Raise weekly/monthly invoices for clients.
- Add internal charges (e.g., inbound, outbound, rework, surcharges) to invoices as required.
- Send out customer statements and reminder letters.
- Ensure customers adhere to agreed credit terms, including putting accounts on hold if necessary.
- Set up new customer accounts with correct pricing and credit terms.
- Carry out credit checks and verify VAT/EORI numbers for new accounts.
Payments & Reconciliation
- Reconcile payments received in Xero and allocate to the correct accounts.
- Reconcile supplier invoices (especially courier invoices), disputing errors and ensuring surcharges are recharged to clients where required.
- Schedule supplier payment runs, setting payment dates in line with cash flow and terms.
- Track outstanding balances and ensure the timely collection of payments.
Cashflow & Reporting
- Manage daily cash flow and highlight any variances to management.
- Produce weekly/monthly financial reports for management.
- Assist with cash flow forecasting and financial planning.
- Handle client shipping or item claims with couriers, ensuring a successful resolution.
- Issue credit notes and adjustments where appropriate.
Compliance & VAT
- Prepare and assist with VAT returns.
- Maintain accurate up-to-date records in Xero and internal systems.
- Assist with month-end and year-end reporting and audit preparation.
General Queries & Support
- Answer queries from customers and suppliers relating to invoices, payments, and accounts.
- Support other departments with finance-related enquiries by phone or email.
- Support the continuous improvement of financial processes.
Skill & Experience Required
- Previous experience in an accounts, finance, or credit control role (preferably in the logistics, fulfillment, or e-commerce sector).
- Strong knowledge of Xero (or similar accounting software).
- Good understanding of payroll processes, credit control procedures, and VAT compliance.
- Experience managing cash flow and supplier payments.
- Excellent attention to detail and organisational skills.
- Strong communication and negotiation skills (confident in chasing payments).
- Proficient in Excel and general IT systems.
- Ability to manage multiple tasks and work to deadlines in a fast-paced environment.
- Experience handling courier invoices and surcharges.
- Knowledge of fulfillment, logistics, or e-commerce operations.
- Familiarity with GoCardless, Stripe, and automated billing systems.
