QUALIFICATION LEVEL: Maths and English at GCSE (A-C) or equivalent
POSITION: Client Accounts Administrator
HOURS OF WORK: 9.00am to 5.30pm
LOCATION: West Croydon
Main Responsibilities:
- Ensure that service charges are accounted for in accordance with the RICS Code of Practice, ARMA-Q rules, Accounting regulations and other HML best practices.
- Accurate and timely issue of service charge accounts (within 6 months of the year end) and issuance of section 20b notices where applicable.
- Prepare and reconcile the information on PMS, including entering the year end adjustments, reserve fund transfers and checking the expenditure.
- Deal with queries from property managers, accountants and clients, ensuring responses within 3 working days.
- Liaise with property managers and external auditors to obtain approval of the year end service charge accounts within 6 months of the year end date and company accounts within 9 months of the year end date.
- Prepare the year end balancing service charge surplus/deficit calculation.
- Input the year end balancing amount and raise credit notes/manual demands as appropriate.
- Assist in the preparation of Section 20b notices, including draft expenditure and providing to the Client Accounting Manager/Client Accountant for approval.
- Update the control sheet on a daily basis and ensure accuracy.
- Assist with any additional adhoc accounting or administrative tasks as stipulated by the Client Accountant or Client Accounting Manager.
Personal Requirements:
- Understanding of all HML Processes, Practices and Ethos.
- Well-developed interpersonal and oral communications skills.
- Interpersonal skills and customer focused.
- Strong organisational skills.
- Ability to work on own initiative and as a team player.
- Good numerical skills.
- Diplomacy.
- Ability to prioritise critical workload and work under pressure and strict time frames.
- Experience in the property management industry would be a bonus but is not essential.
