QUALIFICATION LEVEL: Maths and English at GCSE (A-C) or equivalent

POSITION: Client Accounts Administrator

HOURS OF WORK: 9.00am to 5.30pm

LOCATION: West Croydon

Main Responsibilities:

  • Ensure that service charges are accounted for in accordance with the RICS Code of Practice, ARMA-Q rules, Accounting regulations and other HML best practices.
  • Accurate and timely issue of service charge accounts (within 6 months of the year end) and issuance of section 20b notices where applicable.
  • Prepare and reconcile the information on PMS, including entering the year end adjustments, reserve fund transfers and checking the expenditure.
  • Deal with queries from property managers, accountants and clients, ensuring responses within 3 working days.
  • Liaise with property managers and external auditors to obtain approval of the year end service charge accounts within 6 months of the year end date and company accounts within 9 months of the year end date.
  • Prepare the year end balancing service charge surplus/deficit calculation.
  • Input the year end balancing amount and raise credit notes/manual demands as appropriate.
  • Assist in the preparation of Section 20b notices, including draft expenditure and providing to the Client Accounting Manager/Client Accountant for approval.
  • Update the control sheet on a daily basis and ensure accuracy.
  • Assist with any additional adhoc accounting or administrative tasks as stipulated by the Client Accountant or Client Accounting Manager.

  • Understanding of all HML Processes, Practices and Ethos.
  • Well-developed interpersonal and oral communications skills.
  • Interpersonal skills and customer focused.
  • Strong organisational skills.
  • Ability to work on own initiative and as a team player.
  • Good numerical skills.
  • Diplomacy.
  • Ability to prioritise critical workload and work under pressure and strict time frames.
  • Experience in the property management industry would be a bonus but is not essential.
