RAND is a not-for-profit research institute with over 30 years of experience in conducting policy research for governments, international organisations, research councils, charitable foundations, and other organisations. We believe that good research helps shape sound answers to pressing societal challenges, ultimately making communities safer and more secure, healthier and more prosperous in the future. RAND Europe has offices in Cambridge, Brussels and The Hague and employs approximately 195 staff. We are seeking a highly organised and proactive Events Coordinator to join our Communications and Partnerships team. Reporting to the Head of Communications, you will play a key role in planning, delivering, and evaluating a wide range of events that showcase RAND Europe’s work and foster engagement with policymakers, stakeholders, and the wider public. The role will be based at our Cambridge office with the opportunity to work from home up to 2-3 days a week.

Key Responsibilities

  • Plan, coordinate, and deliver in-person, hybrid, and online events, including conferences, workshops, seminars, and stakeholder roundtables. Priority events include a fortnightly webinar series and two flagship in-person conferences in London.
  • Work closely with research staff and leadership to understand event objectives and design formats that achieve them.
  • Manage all logistics: venue booking, catering, AV/IT, travel arrangements, delegate registration, accessibility needs, and compliance with health and safety requirements.
  • Negotiate with suppliers and manage relationships with venues, caterers, AV providers, and other external partners to ensure value for money and high-quality service.
  • Liaise with external partners and speakers, ensuring excellent communication and smooth delivery.
  • Support the development of promotional materials in coordination with the Communications team, including event invitations, web pages, and social media content.
  • Oversee event budgets, monitor costs, and process invoices.
  • Provide on-the-day support, including event setup, troubleshooting, and stakeholder liaison.
  • Collect and analyse post-event feedback to support continuous improvement.
  • Maintain a central events calendar and ensure effective reporting to internal stakeholders.

Requirements

  • Proven experience in event planning, coordination, or project administration (ideally in an academic, policy, or research-focused environment).
  • Strong organisational and time-management skills, with the ability to manage multiple events simultaneously.
  • Excellent written and verbal communication skills, with confidence engaging stakeholders at all levels.
  • Ability to work flexibly and adapt to changing priorities.
  • Proficiency in Microsoft Office and virtual event platforms (e.g., Zoom, Teams).
  • Experience using CRM systems and email marketing platforms to manage invitations, outreach, and delegate communications.
  • Strong negotiation, problem-solving skills, and attention to detail.
  • Desirable: experience of organising events outside of the UK and navigating the related logistical complexities.
