We are seeking a highly organised and proactive Events Assistant to join our Communications and Partnerships team. You will play a key role in delivering a wide range of events that showcase RAND Europe's work and foster engagement with policymakers, stakeholders, and the wider public. Responsibilities
- Support the planning, coordination, and delivery of in-person, hybrid, and online events, including conferences, workshops, seminars, and stakeholder roundtables.
- Work closely with research teams and Communications and Partnerships leadership to understand event objectives and design formats that achieve them.
- Manage logistics including venue booking, catering, AV/IT, travel arrangements, delegate registration, accessibility needs, and compliance with health and safety requirements.
- Help to build relationships with venues, caterers, AV providers, and other external partners to ensure value for money and high-quality service.
- Liaise with external partners and speakers, ensuring excellent communication and smooth delivery.
- Support the development of promotional materials in coordination with the Communications team, including event invitations, web pages, and social media content.
- Support effective financial management by processing invoices and monitoring event costs.
- Provide on-the-day support, including event setup, troubleshooting, and stakeholder liaison.
- Collect and analyse post-event feedback to support continuous improvement.
- Maintain a central events calendar and support effective reporting to internal stakeholders.
Requirements
- Proven experience in event planning, coordination, and/or project administration (ideally in an academic, policy, or research-focused environment).
- Strong organisational and time-management skills, with the ability to manage multiple events simultaneously.
- Excellent written and verbal communication skills, with confidence engaging stakeholders at all levels.
- Strong problem-solving skills and attention to detail.
- Ability to work flexibly and adapt to changing priorities.
- Proficiency in Microsoft Office and virtual event platforms (e.g., Zoom, Teams).
- Experience using CRM systems and email marketing platforms to manage invitations, outreach, and delegate communications.
This is a hybrid role with 2-3 days per week in the Cambridge office. The role includes ad-hoc travel to central London and occasional out-of-hours support for events.
Salary £28,000-£30,000 per annum.
