Client Support Administrator

Reporting to: Office Manager

Summary: Must have the ability to work within our existing administration team and to provide timely and efficient administration support to the Managing Director and Office Manager within the business.

Responsibilities:

  • Preparing illustrations and paperwork.
  • Submit new business applications, monitor, and track them through to completion.
  • Process fund switches and rebalances.
  • Organise letters of authority, chase information, and track change of agency requests.
  • Assisting adviser with the preparation and formatting of suitability reports.
  • Checking and then issuing policy documentation.
  • Obtaining valuations, paperwork and preparing summary death schedules for Probate.
  • Ensure all notes and documentation are maintained appropriately to ensure a quality audit trail.
  • Maintain back-office system and ensure client data is accurate and up to date.
  • Maintain back-office system task management system and daily workload.
  • Helping develop other team members, with less experience.
  • Ensure adherence to FCA regulations.
  • Preparation and issuing of correspondence including letters and emails.
  • Dealing with clients and providers over the telephone and email.
  • Follow our internal procedures, processes and compliance manual.
  • Liaise with clients to resolve queries in a timely manner.
  • Handle any additional administration tasks as reasonably required.

Requirements:

  • Previous administrative experience gained in a financial services environment (ideally financial planning).
  • Familiar with Microsoft Word, Excel and Outlook.
  • Experience of Intelligent Office desirable but not essential.
  • Regular use of Investment Platforms and Provider websites.
  • Excellent interpersonal and communication skills.
  • Able to work to deadlines whilst managing and prioritising workload.
  • Quality focused, analytical with a keen eye for detail.
  • Willing to learn and develop.
  • Able to work as part of a team or, if required, under own initiative.
  • Strong and accurate typing skills, with the ability to transcribe letters and file notes from audio files.
  • Keen to learn, embracing of change and happy working in a fast-paced environment.
