As our Executive Assistant, you’ll work directly with Ramp’s Founder and CEO and other senior leaders, operating as a trusted partner, strategic gatekeeper, and logistics ninja. This is a role for someone who thrives in a fast-paced, high-trust environment where priorities shift quickly and context-switching is second nature. This isn’t about calendar management; it’s about enabling our leadership to operate at maximum velocity while protecting time, clarity, and focus.
What you will be doing:
- Executive Support: Be the primary support for our CEO and selected senior leaders — managing calendars, inboxes, travel, and meetings with flawless execution. Help prepare for internal and external meetings — owning agendas, briefings, pre-reads, follow-ups, and actions. Act as a sounding board, gatekeeper, and problem-solver — ensuring leaders are in the right rooms, with the right context, at the right time. Stay one step ahead: anticipate needs, surface blockers, and create space for strategic thinking.
- Office Support: Take ownership of the day-to-day running of our Warsaw office, ensuring it’s a functional, efficient, and welcoming environment. Monitor office supplies and coordinate with vendors to keep the office well-stocked and operational. Help onboard new employees and ensure their first day experience in the office is seamless. Coordinate in-office events, team gatherings, and ad hoc celebrations. Serve as the go-to person for general office or facilities-related queries.
- Operational Excellence: Build and maintain smooth, scalable systems for how our executive team works day-to-day. Coordinate leadership offsites, investor meetings, board interactions, and internal events — with an eye for quality and detail. Create clarity out of complexity: keep timelines tight, priorities visible, and communication crisp. Work closely with People, Finance, and Ops to connect dots across the business — while maintaining strict confidentiality.
What you will bring:
- Proven experience as an Executive Assistant or Team Coordinator supporting senior leaders
- Flawless organisational and time management skills
- Exceptional communication - written, verbal, and interpersonal
- The ability to prioritise and adapt quickly in a dynamic startup environment
- A proactive, solutions-oriented mindset with strong attention to detail
- Experience managing or supporting an office environment is a plus
