Overview
In this on-site role, you ensure a professional, welcoming front of house and seamless visitor experience across Ramboll offices. You’ll support facilities, IT, and HSEQ compliance while partnering with the Location Support Coordinator to create an inspiring, efficient workplace. The role blends client care with office facilitation, contributing to continuous improvement and a culture of excellence. You will be the main on-site contact for clients and visitors, shaping the office environment and experience.

Responsibilities
- Maintain sign-in protocols and health, safety, and GDPR compliance for visitors and contractors
- Promote professional behaviours and lead by example
- Support office operations: front of house, desk bookings, parking where applicable
- Perform reception duties: meet & greet, calls, schedule attendance
- Manage meeting rooms, AV/teleconferencing, catering, IT support and related requests
- Log and track tickets via the Helpdesk and ensure timely resolution
- Coordinate with FM providers, cleaners, and maintenance engineers
- Assist with new starter equipment setup and induction tours
- Manage stationery, kitchen duties, and coffee machine maintenance
- Use Maconomy to log purchases, raise POs and input invoices
- Provide local IT support for desk setup and asset provisioning
- Coordinate onsite events (catering, room bookings, car park)
- Maintain auditable records and uphold HSEQ standards
- Prepare HSEQ notices, Fire Warden/First Aider data and safety documentation
- Assist with PPE and WFH equipment ordering
- Support facilities inspections and data uploads to FM shared site
- Conduct daily/weekly/monthly environment checks and keep IT equipment functioning
- Ensure accurate site signage and information display
- Support location-specific activities with the Location Leader
- Maintain data spreadsheets and perform ad hoc duties
