Role Overview

The Personal Assistant (PA) provides high level administrative, organisational, and coordination support to the Managing Director (MD) within a private healthcare group. Operating in a fast paced and highly confidential environment, the PA acts as a trusted gatekeeper and coordination point for the MD, supporting complex schedules, sensitive communications, and priority matters across both medical and corporate functions.

Key Responsibilities

  • Executive Support
    • Manage and coordinate the MD’s calendar, including scheduling of meetings, appointments, and travel arrangements.
    • Act as a gatekeeper for the MD, prioritising meetings, requests, and information to optimise time management and decision making.
    • Anticipate upcoming commitments, deadlines, and matters requiring the MD’s attention.
    • Prepare briefing materials, reports, and presentations for meetings and business engagements.
    • Handle confidential and sensitive information with a high degree of discretion.
  • Communication & Correspondence
    • Draft, review, and respond to emails, memos, and other correspondence on behalf of the MD.
    • Ensure consistency, professionalism, and alignment in all written and verbal communications.
    • Act as a communication bridge between the MD and internal and external stakeholders.
  • Meeting & Event Management
    • Organise and coordinate meetings, including agenda preparation, logistics, and follow ups.
    • Take minutes and track action items to ensure timely completion.
    • Support planning and execution of leadership meetings, business reviews, and selected company events.
  • Healthcare & Governance Support
    • Support MD level governance matters, including preparation of briefing materials and coordination relating to Board, management, or leadership meetings.
    • Liaise with Legal, Compliance, Risk, or Corporate Secretariat teams as required.
    • Handle highly sensitive matters relating to clinical operations, patient issues, medico legal, or reputational topics with care and discretion.
  • Project & Business Support
    • Participate in and support assigned company projects and initiatives through coordination, progress tracking, and preparation of updates.
    • Conduct basic research and information collation to support MD level discussions and decision making.
    • Assist in monitoring key initiatives and ensuring alignment with organisational priorities.
  • Stakeholder Management
    • Build and maintain effective working relationships with senior management, medical leadership, clinicians, and corporate teams.
    • Facilitate smooth communication and coordination across departments.
    • Support engagements with external parties, including business partners, vendors, and senior visitors.

Requirements

  • Degree or Diploma in Business Administration or related discipline.
  • Minimum 4 years of experience supporting senior executives (C suite preferred).
  • Experience in a regulated or professional services environment; healthcare experience is an advantage.
  • Strong written and verbal communication skills, with the ability to draft professional correspondence independently.
  • Highly organised with strong attention to detail and ability to multitask.
  • Strong judgement and ability to handle sensitive or ambiguous situations independently.
  • Proactive, resourceful, and able to work independently in a fast paced environment.
  • High level of discretion and professionalism.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
