Job Responsibilities
- Lease Documentation Processing
- ACRA search on tenants and prospects
- Ensure full execution of documents after tenant's acceptance of Letter of Offer and preparation of Lease Agreements including payments
- Assist and support the team to ensure smooth process of lease documentation – including proper filing, liaise and track the execution of lease documents by tenants
- Maintain timely submission and update tenants' sales on a monthly basis
- Timely update concluded deals, and update COC required documentations
- Viewing Arrangements
- Attend to phone enquiries and making viewing arrangements
- Maintaining calendars of team for viewing arrangements
- Calculation of area for proposed subdivided units
- Vacancy Listing
- Maintain vacancy listing and agent mailing list, monthly
- To send and follow up of prospecting emails to prospects
- Arrears Management
- To ensure timely follow up with Finance and tenants on arrears for rent and ad-hoc charges
- Tenant's Insurance Policies
- To ensure timely follow-up with tenants on updating of Tenants' PL and IAR insurance in accordance to SOP
- Tenants Related Matters
- Arrange for flowers to be sent for tenant's business commencement
- Procurement
- Create purchase requests and ensure payments are timely remitted
- Contact Database
- Ensure timely updated of contact database for tenants, and business associates. Support with relevant contact details to counterparts
- URA Occupancy Reporting
- Reporting of building occupancy in URA portal
- Any other ad-hoc duties assigned
You will also manage the network of property leased from external Landlord:
- Liaising and following up with external Landlord's Lease Admin Team on the documentations pertaining to the Lease including insurances and ensure payments made timely.
- Liaise with internal stakeholder to renew insurance policies on an annual basis.
Job Requirements
- 1 to 2 years of administration / operations experiences
- Able to work in fast paced environment and meet timelines
- Well-conversant in Microsoft Office applications (MS Word/Excel)
- Details-oriented and quality conscious
- Good follow through skills
- Pleasant personality and good interpersonal skills
- You should have a Diploma/ Degree in Real Estate/Building/Business
