Morson Edge currently have an opportunity available for a Part-time Administration Assistant to work on behalf of our Aerospace client based at RAF Brize Norton. The Administration Assistant (AA) provides comprehensive administrative and coordination support to the client's team at RAF Brize Norton. This role ensures operational continuity for Approved Maintenance Organisation (AMO) functions by managing rostering, documentation, procurement, facilities and security compliance while acting as a primary point of contact for the team. The role requires proactiveness, adaptability and the ability to prioritise competing tasks with minimal supervision.
Key responsibilities:
- Manage the daily hours planner to enable realistic allocation of hours for AMO jobs and perform daily attendance checks to ensure duty of care.
- Support managers on attendance matters: Monitor sickness levels and Fit for Work certificates. Check and action Return to Work documentation and liaise with HR as required.
- Manage onboarding and leavers: New starter and termination setup for team members. Instigate uniform orders and coordinate induction briefs and document familiarisation training.
- Assist with apprentice intakes and departures liaise with the apprentice management team and college staff.
- Administer credit card and MODNET account requirements.
- Maintain and update distribution lists and AMO emergency contact lists.
- Collate and manage the monthly manager Drum Beat presentation and conformance documentation.
- Oversee stationery and refreshment supply budgets, coordinate stock control.
- Manage company vehicle maintenance, documentation and fuel cards through liaison with Fleet Control maintain pool vehicle booking records/spreadsheets.
- Manage indirect/direct procurement requests (including certain IT requirements) from initiation to completion: Check order status for completeness. Query payment requests and ensure invoices are checked, receipted and processed in a timely manner.
- Maintain and update the BZN organisation chart liaise with web and SharePoint teams.
- Manage the BZN telephone directory and vacation form amendments liaise with USA web forms section where required.
- Maintain strong working relationships across all BZN sections and the wider community, act as a point of contact for ancillary contacts.
- Support updates and amendments to BZN SharePoint.
- Manage security compliance for visitors to BZN liaise with Security and RAF BZN staff/framework.
- Coordinate secure badge renewals for the client and RAF team members.
- Administer the voucher scheme for eye care for safety and DSE glasses.
- Manage locker allocation and maintenance in H878.
- Act as site focal: provide advice, signposting and support to team members and support team management as requested.
- Promote and practice Seek, Speak, Listen and maintain an approachable and supportive manner.
- Process team expenses accurately and promptly.
- Undertake any other reasonable duties or ad-hoc requests from management.
Right to work in the UK and ability to obtain/hold required UK security clearance / MODNET access (or willing to undergo BPSS/SC/DV as required for RAF/ Defence roles). Proven administrative experience (ideally in defence/maintenance or AMO-supporting environment) covering rostering, attendance checks, onboarding/leavers, document control and basic facilities coordination. Strong IT skills: proficient with MS Office (Excel/Outlook/Word), SharePoint/Web forms, and experience using procurement/expense systems and maintaining spreadsheets/directories. Good knowledge/experience of procurement and finance admin (raising/monitoring orders, invoice checking/receipting, corporate credit card/processes) and managing supplier/fleet interactions. Excellent organisation, prioritisation and interpersonal skills: able to manage competing tasks with minimal supervision, maintain confidentiality, liaise across stakeholders (client, RAF, HR, security) and act as a reliable point of contact.
