At RY, we're building one of the best project management teams in the communications sector, and we're looking for an ambitious, organised Project Assistant to join our Sustainability team. Project management sits at the heart of everything we do. It’s integral to ensuring we produce the very best work for our clients and helping to achieve our vision ‘to create a world that believes in business’. The Project Assistant role is the backbone to every successful Project Management department. You will provide general office and project support to the team and will also work with other RY Teams. You’ll need excellent attention to detail, communication skills and the ability to work to restricted deadlines on a number of tasks at one time.
Our successful candidate will need to have a genuine interest in, and passion for, sustainability and its role in the business world.
Responsibilities include:- Supporting senior-level project managers in the delivery of projects, from scoping and estimation, through to production, QA and wash up.
- Ensuring processes are followed and that projects are run on time, on budget and with crystal clear understanding of the brief.
- Building trusted relationships and managing expectations with clients, dealing with day-to-day requests and consistently delivering excellent service.
- Helping to produce regular reconciliations and proactively providing update reports to the client.
- Mitigating against risks and tracking issues, escalating concerns to the senior-level project manager before they become critical.
- Ensuring payment plans, billing, POs and client financial information are accurate and completed on time.
- Ensuring timesheets and resourcing are complete and actively managed, including resolving day to day issues.
- Building strong team relationships within the PM team and across RY, ensuring all members of the project teams know their role and what is expected of them.
- Project management expertise.
- A solid Project Assistant with previous experience, ideally working in a design agency, strategic consultancy or equivalent role in a client organisation.
- A well organised and logical thinker.
- Obsessed about the quality of outputs and outcomes.
- A good balance of IQ and EQ, someone who is believable and a ‘safe pair of hands’.
- Preferably experienced in scoping different types of strategic and creative work, writing proposals, SoWs and change requests, and taking ownership of them.
- An enthusiastic team player with a proven record working in strong team cultures and building lasting relationships who relishes developing good working relationships with colleagues across different areas of the business.
- An exceptional eye for detail, proactively flagging mistakes or when work goes off-brief.
- Excellent written and verbal communication.
- An expert in enabling a smooth and tailored delivery experience for everyone involved.
- Competent in managing project governance from set-up to implementation.
- Commercially savvy with experience in tracking and managing financials.
- Passionate about corporate sustainability, with a demonstrable interest and knowledge in corporate sustainability issues.
- An understanding of, or proven interest in, sustainability reporting, strategy and engagement.
- You’re have tonnes of energy and are enthusiastic about the positive contribution business can make to environment and society.
