We are looking for a brilliant Creative Resource Manager (Workflow Manager) to join us on a 9-month maternity cover contract, starting in September 2025. You'll work directly with our creative team, helping facilitate the flow of client projects, internal work, pitches and proposals whilst making the most of our own talent and identifying what additional people and skills we may need across the team.
By gathering as much information as possible on all current and incoming projects via our business information software, Workbook, and through regular team meetings, client briefs, timelines and discussions with Project Managers, our Workflow Team help build a picture of staffing needs and communicate challenges and solutions around this to the wider business, enabling the team to deliver brilliant work and also feel happy and motivated.
Responsibilities will include:
- You’ll be responsible for the day-to-day trafficking of work across the creative team, including daily problem solving of clashes or project overruns.
- Attend all Pipeline meetings and Qualification meetings as and when required in order to hear about new opportunities, the specific timelines and deliverables.
- Chair regular sessions with the Creative Directors in order to discuss longer-term Creative Strategy and people solutions around up-and-coming skills challenges, team structure or changes, allocation and re-allocation based on growth.
- Attend monthly Commercial Reviews with PMs, covering all areas of RY, pushing the agenda of long-term planning across all projects.
- Share any trends around team shape, over-burning and capacity issues for specific roles/levels.
- Continuously evaluate whether freelance support is required across your teams and build a case if a freelancer is required, with evidence of exact project allocation and timings.
- Go to market and source freelancers as and when necessary, using a brief discussed with the relevant team lead.
- Use Workable to post ads and other tools such as LinkedIn for sourcing and communication.
- Be the first stage approver for all Creative absence requests and flag to line managers if there are any issues/clashes.
- Run regular holiday reports to check for potential solutions around clashes to avoid the need for freelancers.
Requirements:
- Experience of working in an agency or fast-paced, client-facing business - we solve one problem and then this solution often becomes invalid in the next hour based on our ever-changing client needs and priorities.
- You are able to deal with constant change and remain upbeat and solution-focused throughout.
- Excellent Communication - you communicate with clarity, confidence and professionalism in writing, in person or on a call.
- Calm and Approachable - you can keep your cool when under pressure from multiple requests into the same team and will be able to discuss sensible solutions. You have the ability to say no when appropriate.
- Problem Solver - you can take information and quickly interpret into potential next-step options and present in a clear way for the team to make a call on. You are solution-centric, whether this means further information gathering or pushing back on others.
- Confident in using data and reports - you will have an eye for detail in order to process all reporting information across Workbook and can navigate Excel with ease.
