We’re on the lookout for a highly organised, proactive and detail-driven HR Coordinator to join our Area Support Office, supporting our hotel teams. This is a brilliant opportunity for someone with strong administrative experience and a passion for people processes. Whether you’re looking to step into HR or build on existing knowledge, this role offers variety, ownership and room to grow, all within a supportive and dynamic HR team.
What You’ll Be Doing
Reporting into our Senior HR Business Partner, you’ll work across all aspects of the employee lifecycle with a focus on recruitment, onboarding, compliance, and systems. You’ll work closely with Talent Acquisition, L&D, HRBPs, hotel managers and other colleagues to ensure our processes run smoothly and efficiently.
Key Responsibilities
- Recruitment & Onboarding
- Manage job requisitions and advertising through our ATS
- Issue offer letters, contracts and onboarding documentation for UK roles
- Ensure Right to Work checks, EU Settlement submissions, and Night Worker assessments are complete
- Handle onboarding logistics; welcome emails, system access, duplicate profile checks, password resets
- Maintain accurate records using SmartRecruiters, Workday, EPS and People Now
- People Administration & Compliance
- Own and manage the People Now ticketing system daily
- Maintain and update trackers for Contract Amendments, Eligibility to Work, Maternity/Paternity, Risk Assessments, etc.
- Ensure timely completion and accurate filing of employee documentation
- Liaise with payroll, HRBPs, and hotel managers on compliance gaps and deadlines
- Complete routine audits and reports (e.g., National Living Wage, SR age pension checks, DSE/Risk Assessments)
- Employee Experience & Flow Learning
- Coordinate Day 1 Inductions and refresher training in Flow
- Monitor completion rates and follow up with hotels
- Handle access issues and retrigger welcome emails when needed
- Support internal comms and team engagement projects
- Ad Hoc & Wider Team Support
- Provide administrative support to Talent Acquisition and L&D where needed
- Support with internal audits, data collation and project-based work
- Take minutes in meetings and prepare outcome templates
- Contribute ideas to improve processes and drive efficiency
