Job Description:

RA Dalton is seeking an experienced, organised and proactiveOffice Administratorto support the day-to-day operations of our busy Crook office.

This is a varied and rewarding role that requires excellent organisational skills, strong attention to detail and the ability to manage multiple administrative responsibilities simultaneously. The successful candidate will play a key role in supporting our Servicing Department and wider business functions, ensuring office processes run efficiently while providing high levels of administrative and customer support.

You will be responsible for handling correspondence, maintaining accurate records, coordinating documentation, supporting customer enquiries, managing internal systems and assisting departments across the business with a range of administrative tasks.

The ideal candidate will be confident communicating with customers, suppliers and colleagues, possess excellent IT skills and be capable of working both independently and as part of a collaborative team environment.

General Responsibilities:

  • Provide administrative support to the Servicing Department and wider business teams.
  • Handle incoming and outgoing telephone calls, emails and correspondence in a professional manner.
  • Act as a first point of contact for customer enquiries and direct requests to the appropriate department.
  • Maintain accurate records, databases and filing systems, ensuring information is up to date and easily accessible.
  • Perform data entry and document management tasks with a high level of accuracy.
  • Process, organise and monitor customer documentation and service records.
  • Manage tasks and updates through customer portals and online account management systems.
  • Assist with scheduling appointments, meetings and diary management where required.
  • Support the preparation of reports, spreadsheets, documents and presentations.
  • Coordinate internal communication between departments to ensure efficient workflow and information sharing.
  • Monitor and manage administrative processes to ensure deadlines are met.
  • Assist with the preparation and processing of operational and customer documentation.
  • Maintain office supplies and support the smooth day-to-day running of office operations.
  • Ensure confidential information is handled securely and in accordance with company procedures.
  • Provide general administrative support to management and operational teams as required.
  • Contribute to process improvements and administrative efficiencies across the business.
  • Represent RA Dalton professionally and positively at all times.

Requirements & Skills:

  • Minimum of 3 years experience within an office administration, business support or administrative role.
  • Excellent organisational skills with the ability to prioritise a varied workload effectively.
  • Strong telephone manner and customer service skills.
  • Excellent written and verbal communication skills.
  • High level of accuracy and attention to detail.
  • Competent in Microsoft Office applications including Outlook, Word and Excel.
  • Experience maintaining databases, records and administrative systems.
  • Ability to work independently and as part of a team.
  • Professional, proactive and positive attitude.
  • Strong time management and problem-solving skills.
  • Ability to manage confidential information with discretion and professionalism.
  • Previous experience within a service, engineering, utilities or operational environment.
  • Experience working with customer portals, online management systems or CRM databases.
  • Knowledge of document control and records management processes.
  • Experience supporting multiple departments within a busy office environment.
  • Familiarity with scheduling, service administration or coordination activities.
  • Previous experience within the water, wastewater, utilities or environmental sectors.
