Company Overview:
We are working with a highly regarded investment firm seeking an experienced Executive Assistant to join their team on a long‑term maternity contract. This is a lovely opportunity to take on a varied and trusted position within a successful, close‑knit business, where you will play an important role in supporting senior leadership and overseeing the smooth running of the office. The role offers a combination of traditional executive support and broader operational responsibilities, making it ideal for someone who enjoys variety, takes pride in being organised and is happy to turn their hand to whatever is needed. You will be working closely with a senior figure within the business who has a lively, outgoing personality, so a confident, adaptable approach and the ability to build a strong working relationship will be important.
Alongside providing comprehensive diary, travel and administrative support, you will take ownership of the office management aspect – liaising with external providers and assisting with internal projects, events and occasional finance‑related administration. On the private side there will be a lot of ad‑hoc tasks – where no two days are the same.
The team is friendly, sociable and supportive, with a genuinely welcoming culture. They are looking for someone bright, capable and personable who brings a positive attitude, strong initiative and a solid background in executive support. A fantastic opportunity for an experienced EA who enjoys being at the heart of a business and making a real difference.
Responsibilities:
- Provide comprehensive PA and administrative support to senior leadership.
- Manage busy diaries, coordinate meetings and arrange appointments.
- Organise UK and international travel, including itineraries and accommodation.
- Coordinate restaurant reservations, events and occasional personal arrangements.
- Act as a key point of contact for internal and external stakeholders.
- Oversee the day‑to‑day running of the office, ensuring everything operates efficiently.
- Liaise with external suppliers, IT providers and building management.
- Coordinate office supplies, facilities and general administrative requirements.
- Assist with the planning and organisation of client meetings and company events.
- Support with expenses, invoices and basic financial administration.
- Prepare correspondence, documents and presentations as required.
- Provide additional administrative support to the wider team when needed.
- Take ownership of ad‑hoc projects and tasks, anticipating requirements and ensuring deadlines are met.
Skills & Experience:
- Solid EA and Office management experience
- Excellent diary, travel and organisational skills
- Strong written and verbal communication
- Confidence working independently while also being a collaborative team player
