About the Role

This role is based in either our Charlotte, NC or London, UK office. As the Event Program Manager, your contribution to the organization will be to ensure operational success by achieving alignment through defining, communicating, and managing standards to ensure the event operations team has the tools and information to deliver a successful event according to all parties.

Responsible for managing operational relationships with both internal and external stakeholders, particularly partners, you will serve as a bridge between the operations department and those parties.

  • Program deliverables meet or exceed partnership standards.
  • Effective incorporation of feedback from evaluations and subsequent action plans.

Core Responsibilities

  • Responsible for the program management of 2+ assigned programs annually with a varying number of events per program.
  • Operational Relationship Owner: Taking ownership of developing the operational relationships with partners. Ensuring that these relationships are well managed, efficient and mutually beneficial.
  • Aid in gathering and distributing expectations from the Partner and Product Management teams to the Event Operations team.
  • Ensure the proper hand off information as needed from the partner to the Event Operations team according to set timelines.
  • Own the resolution of issues that may arise in the operational relationship, using a proactive and solution oriented approach.
  • Provide status reports for all projects to your immediate supervisor along with assigned partner(s).
  • Internal Liaison: Provide expert guidance and support on partnership details, agreements, and expectations ensuring alignment with operational partnership goals.
  • Assist in creating, implementing and monitoring established standards and best practices according to partnership to ensure consistency across the organization and with external partners within assigned partnerships.
  • Focus on achieving alignment through defining, communicating and managing standards to ensure the event operations team and external partner teams have the tools and information needed to execute planning and onsite activities.
  • Maintain up to date documentation and records of partnership agreements, key contacts, and communications logs.
  • Provide a point of escalation for the operations team within assigned partnerships.
  • Forward Planning: Implement forward planning strategies to address event needs and opportunities, contributing to overall event success.
  • Take ownership of gathering, consolidating, and presenting comprehensive event feedback and future action plans across the organization.
  • Collaborate with various teams to integrate forward planning efforts and maintain a cohesive approach to execution.
  • Anticipate the needs in planning for upcoming events within assigned partnership scope.
  • Engage in product ideation and feasibility in the launch process of new products or activations ensuring adherence to budget and partnership expectations.
  • Including but not limited to the coordination of initial site visits as needed, ensuring venues meet all logistical, technical, and operational requirements for successful event execution.

Requirements

Education and Experience:

  • 3+ years’ experience in event planning and account management.
  • Sporting events, entertainment, and/or live experiences strongly preferred.
  • Experience managing and supporting budgets of at least 500K USD.
  • Experience with highly variable budgets or budgets to sales preferred.
  • Experience across multiple industry sectors (agency, venue, league, corporate) preferred.
  • Proven track record of effective project management.
  • Bachelor’s degree or higher in Hospitality Management, Business, Marketing, or related field.
  • Proficient computer skills including but not limited to Excel, CRM software, and project management tools.
  • Bi/multilingual preferred.

Physical:

  • Prolonged periods sitting at a desk and working on a computer.
  • Extensive walking and standing for periods greater than 12 hours while at events.
  • Must be able to lift up to 30 pounds/14 kilograms.

Full time in-person based in Charlotte, NC or London, UK. Requires flexibility to work long hours and weekends, as needed, in addition to having the ability to travel up to 20% - targeted travel 10-15%. Willing and eligible to travel internationally. Eligible to work in the United States/United Kingdom.
