We are now looking for a Transport Operations Administrator to support the successful day-to-day delivery of a new dedicated transport contract. This is a newly created role, offering the opportunity to play a key part in contract mobilisation, workforce coordination, transport administration, and operational communication.

The Role

As Transport Operations Administrator, you will provide essential support to the transport team by helping to coordinate daily resource requirements, agency bookings, assessments, inductions, onboarding activity, vehicle information, and operational records. You will work closely with the Contract Lead, agency partners, drivers, internal departments, customers, and the wider transport operation to help ensure shifts are covered, information is accurate, and the contract runs smoothly. This role is well suited to someone who is organised, detail-focused, confident communicating with different teams, and comfortable working in a fast-moving operational environment.

Key Responsibilities

  • Support the Contract Lead with the daily administration of the dedicated transport contract.
  • Maintain accurate trackers covering driver requirements, vehicle requirements, agency bookings, attendance, availability, onboarding status, and outstanding actions.
  • Update daily and weekly records to reflect changing driver and vehicle needs.
  • Liaise with agency partners regarding bookings, attendance, amendments, cancellations, availability, and general workforce queries.
  • Track agency worker status, including assessments, inductions, documentation, and readiness to work.
  • Coordinate assessments, inductions, onboarding sessions, site briefings, and contract-related briefings for drivers and agency workers.
  • Share joining instructions, timings, location details, document requirements, and contact information with attendees.
  • Maintain records of assessment outcomes, induction attendance, compliance status, outstanding actions, and follow-up requirements.
  • Support the tracking of vehicle requirements, availability, defects, downtime, substitutions, shortages, and related concerns.
  • Liaise with Fleet, Transport, Maintenance, HR, Training, Compliance, Health and Safety, Operations, and other internal teams as required.
  • Support the preparation of reports, summaries, updates, invoice checks, timesheet queries, purchase orders, and audit-ready records.
  • Escalate gaps, missing information, delays, attendance issues, vehicle concerns, or compliance risks to the Contract Lead.
  • Help develop clear administrative processes, trackers, communication flows, and contract support routines as the operation becomes established.

Requirements

  • Previous experience in an administrative, operational support, transport, logistics, recruitment coordination, workforce coordination, or contract support role.
  • Experience working with agency labour, booking processes, onboarding, assessments, inductions, or attendance records would be advantageous.
  • Experience in transport, logistics, fleet, warehousing, distribution, or a similar operational environment would be beneficial.
  • Strong organisational skills with the ability to manage multiple tasks and changing priorities.
  • Good attention to detail and accuracy when maintaining records, trackers, and systems.
  • Confident communicator with the ability to liaise professionally with agencies and internal departments.
  • Able to work independently while supporting a wider operational team.
  • Comfortable working in a role that may develop as the contract grows.
