Responsibilities and Accountabilities

  • Administer staff recruitment, payroll and documentation.
  • Ensure records for the home on the computerised management information system are maintained accurately, maintaining confidentiality in line with HICA policies and procedures.
  • Deal with queries relating to staffing matters for the home in accordance with HICA policies and procedures.
  • Administer the financial systems of the home including collection and receipt of monies and maintenance of the imprest account in accordance with standard procedures and policies.
  • Provide basic training in the operation of the computerised management information system to the manager and management team.
  • Manage client record files and other files, with assistance where provided, to ensure that records are kept up to date and readily available or archived when required.
  • Accurately report client information to Head Office.
  • Type correspondence, take and produce minutes of meetings and provide general admin and secretarial support to the manager.
  • Check supplies and order stocks as required (except catering supplies) to ensure the establishment is properly run.
  • Attend training courses and staff meetings as requested by the manager.
  • Prepare, collate and analyse discharge, admission and charging information in accordance with standard procedures.
  • Answer the telephone, log and pass on messages when required in a timely manner.
  • Ordering and invoice processing.
  • Manage petty cash in line with internal procedures.
  • Administration of residents’ monies ensuring accountability.
  • Treat all Service Users and Families with respect, dignity and courtesy and maintain confidentiality at all times.
