We’re seeking a proactive and organised Estates Compliance and Projects Administrator to join our Estates team. This role supports both compliance and project functions, helping ensure our facilities run smoothly and safely across multiple sites. If you have a background in facilities or estates administration and enjoy working collaboratively to deliver high-quality outcomes, this could be the perfect opportunity for you.

Part-time: 30h per week (4 days per week between Monday to Friday)

Pay: £12.80 per hour (£19,968 annual salary)

Key Responsibilities:

  • Support the Corporate Compliance Manager with regulatory compliance, invoicing, and due diligence.
  • Assist the Planned Works Manager with internal improvement and construction projects.
  • Monitor systems, emails, and calls related to estates compliance and planned works.
  • Prepare service review documents and KPI reports.
  • Administer quotes, place orders, and manage the full lifecycle of procurement.
  • Upload and approve invoices, resolve discrepancies, and manage contractor portals.
  • Ensure purchase requests are completed within SLA or escalated appropriately.
  • Collaborate with operations and helpdesk teams to deliver a premium service.
  • Work to weekly budgets and flag any risks to relevant managers.

About you:

  • Strong administrative and organisational skills.
  • No prior experience in Facilities Service Management or Estates will be required for this role.
  • Excellent communication skills across all levels of the business.
  • Proficiency in MS Office (especially Excel and PowerPoint).
  • Experience with CAFM systems (E-Maintenance or Verisae preferred).
  • Self-motivated with a can-do attitude.
  • Understanding of SLA management and task prioritisation.
  • Experience in a multi-site organisation.
  • Occasional overnight stays may be required to support project fit-outs (with 4 weeks’ notice).
  • This role is based in Harrogate and requires office presence 3–4 days per week.
