Are you an experienced Hire Fleet Coordinator looking for your next challenge? We currently have a fantastic opportunity to work within our Berkeley depot on a permanent basis. The Hire Fleet Coordinator is primarily responsible for driving sales growth through short-term fleet hires, building strong relationships with new and existing clients, and managing the end-to-end hire process from initial enquiry to delivery. In this role, you should be a confident, outgoing communicator with a strong sales and customer service mindset, ensuring high accuracy, compliance, and seamless logistics. Fleet utilization, customer satisfaction, and administrative excellence are at the forefront of the role.

The Hire Fleet Coordinator will work very closely with all facets of the organisation including:

• The Hire Fleet Manager
• The Service & Workshop Departments
• Logistics & Delivery Drivers
• Existing and Prospective Hire Customers

What candidate are we looking for?

• Proven experience in telephone-based sales and customer service, including proactive outbound sales calls
• Excellent telephone manner and verbal communication skills with a proven ability to build rapport and manage customer relationships at all levels
• Highly organized and methodical with strong administration skills and high attention to detail
• Good literacy, numeracy, and IT skills, with proficient knowledge of MS Office systems
• Ability to work under pressure and prioritize workloads to meet tight deadlines
• Full clean UK driving license
• A professional approach to conduct rules, demonstrating integrity, due skill, care, and diligence to ensure customers are treated fairly

The following additional skills would be an advantage:

• A passion for selling with confidence in proactive lead generation
• Knowledge of commercial and municipal fleet vehicles
• Experience handling hire administration, vehicle logistics, or transport scheduling
• Flexibility to support service departments and colleagues during busy operational periods

What will be your duties?

• Maximizing hire sales by handling incoming calls, processing customer enquiries, resolving queries, and making outbound sales calls to generate new business
• Managing vehicle hire orders from initial enquiry through to delivery, final IT input, recharges, and associated administrative tasks
• Ensuring all hire documentation and customer paperwork are fully completed and compliant with group standards
• Assisting with the coordination and allocation of delivery drivers across various locations to maximize vehicle utilization
• Producing daily and weekly reports on vehicle hires, fleet status, and sales activity
• Updating the Motor Insurance Database (MID) daily and maintaining accurate customer information on the sales database
• Assisting in the production of customer hire invoices and administrative recharges
• Identifying damage on off-hired or in-service vehicles and following documented processes to notify customers and process recharges
• Supporting the service department and other operational areas of the business as required to maintain seamless service delivery
