This role reports into the Head of Facilities Management and Health and Safety within the Security and Property team. This role, based in Southampton, will lead both vendor management and facility and property management functions, closely working with the Health & Safety team. Regularly acting as deputy to the Head of Facilities Management and Health and Safety, this role is responsible for developing and supporting a collaborative Workplace Services team, ensuring high standards and alignment with Quilter’s values and business objectives. The Senior Facilities Manager oversees the delivery of facilities services across a portfolio of properties in UK&I, ensuring best practice, statutory compliance and excellent customer service. In addition, this role will regularly support capital projects and small-scale extra works.

Key responsibilities:

  • Manage service partners, including KPI/SLA reviews, acting as an escalation point for the team.
  • Oversee day-to-day operations, ensuring delivery of high-quality hard and soft services.
  • Champion a safety-first culture, ensuring compliance with health and safety, including fire safety and water management, driving completion of compliance actions.
  • Support the delivery of operational initiatives and innovative solutions to improve service and customer experience.
  • Maintain high standards through regular site inspections and ensure compliance with contractor management processes.
  • Complete hard and soft services and compliance audits ad-hoc and by arrangement with the incumbent contractor.
  • Support capital project works, including building power downs, building fabric works and other small scale extra works.
  • Manage and measure budget forecasting and reforecasting including variable operational costs and deliver cost efficiencies.
  • Manage and support regular stakeholder meetings, risk/governance reporting and service updates, ensuring the Head of Facilities Management and Health and Safety remains fully informed on key activity, service performance, emerging issues and areas requiring decision or support.
  • Provide continual assurance to the Head of Facilities Management and Health and Safety through regular communication, timely escalation of key risks, incidents and compliance matters, and clear reporting of progress against agreed actions in line with Quilter policies and governance requirements.
  • Deputise for the Head of Facilities Management and Health and Safety as necessary.

About You

  • Significant experience in facilities management, ideally with previous team leadership or operations management experience.
  • Knowledge of safety, building compliance and health and safety legislation.
  • Strong technical knowledge of mechanical and electrical systems in property management.
  • Excellent organisational, verbal, and written communication skills, with the ability to provide clear, timely updates and assurance to the Head of Facilities Management and Health and Safety.
  • Solid stakeholder and supplier management skills, with the ability to build strong relationships with Facilities partners and communicate effectively to support high-quality service delivery.
  • Strong advocate for a safety-first culture, with the ability to identify and escalate key risks and issues in line with Quilter policies and governance requirements.
  • Knowledge of safety, quality, and cost risks, with a focus on value for money, continuous improvement and initiatives that support the function’s strategy.
  • Proactive and innovative mindset, with the ability to challenge existing ways of working and identify opportunities to improve service, efficiency and colleague experience.
  • Ability to support major projects connected to the role, including operational change, property works, service improvements and supplier-led initiatives.
  • IFMA/IWFM qualification (level 3 or equivalent), and/or MIFMA/MIWFM, IOSH Managing Safely or NEBOSH National General Certificate.
