About Our client is a fashion business supplying apparel to wholesale and retail customers. We are looking for a highly organised and detail-oriented Shipping Clerk / Administrator to join our team in Leicester. This is a hands-on administrative role within our shipping and logistics operation. The successful candidate will be responsible for ensuring customer and wholesale orders are processed accurately, packed and shipped on time, and tracked through to successful delivery. The role would suit someone who is organised, computer literate, confident using Excel, and comfortable working in a busy fashion environment where accuracy and attention to detail are essential.
The Role: As Shipping Clerk / Administrator, you will support the day-to-day shipping operation, working closely with customers, warehouses, carriers, suppliers and internal teams. You will be responsible for preparing shipping documentation, arranging collections, monitoring deliveries, maintaining accurate records and helping to resolve any shipping or order discrepancies.
Key Responsibilities
- Prepare and process customer and wholesale orders for dispatch.
- Create shipping labels, packing slips and commercial invoices.
- Schedule carrier collections and coordinate daily shipments.
- Liaise with shipping carriers, including UPS, FedEx, DHL, USPS and freight companies.
- Track shipments and proactively investigate and resolve delivery issues.
- Process both domestic and international shipments in accordance with relevant shipping procedures.
- Coordinate with warehouses, retailers, suppliers and customers to ensure orders are dispatched correctly and on time.
- Maintain accurate shipping records and documentation.
- Monitor shipment status and communicate updates where required.
- Identify and resolve discrepancies between orders, inventory and shipped quantities.
Fashion & Apparel Administration
- Work with apparel SKUs, styles, colours and sizes.
- Process wholesale and retail orders accurately.
- Support the shipping of seasonal collections and new product launches.
- Ensure garments are packed, labelled and prepared according to customer and shipping requirements.
- Maintain a strong understanding of product details to minimise picking, packing and shipping errors.
Excel & Administration
- Maintain accurate shipping and order spreadsheets.
- Sort and filter order and shipment data.
- Use Excel formulas including SUM, COUNT, AVERAGE and XLOOKUP/VLOOKUP.
- Create and format Excel tables.
- Use basic PivotTables to analyse shipping and order information.
- Track inventory and shipment status.
- Compare ordered quantities against shipped quantities and identify discrepancies.
- Maintain daily shipping logs.
- Prepare daily and weekly shipping reports.
- Keep electronic records and documentation organised and up to date.
- Read, respond to and manage relevant emails in a timely and professional manner.
Essential Skills & Experience
- Previous experience in shipping, logistics, order administration or a similar administrative role would be beneficial.
- Good understanding of domestic and international shipping procedures.
- Strong intermediate Excel skills, including XLOOKUP/VLOOKUP, sorting, filtering, formulas and basic PivotTables.
- Excellent attention to detail and a high level of accuracy.
- Strong organisational and time-management skills.
- Confident using computers and standard office software.
- Able to read, understand and respond to emails professionally.
- Good communication skills, both written and verbal.
- Ability to work independently while also working effectively as part of a team.
- Ability to prioritise tasks and work to deadlines in a busy environment.
