The Internship Operations Coordinator supports Quant Hub's growing workforce initiatives by coordinating the day-to-day execution of internship programs, student experiences, and program operations.
This role serves as the operational backbone for Alabama Data Scholars, the new AI for Alabama initiative launching this fall, and future internship cohorts and workforce programs.
Working closely with the Employer Partnerships Manager, this position ensures internship programs are delivered with consistency, accuracy, and exceptional attention to detail while creating an outstanding experience for students and employer partners.
Because Quant Hub is an education technology company, this role also supports the integration of AI and data skills training into every internship experience through Quant Hub's learning platform and skill pathways.
- Internship Program Operations
- Coordinate internship cohorts from application through program completion.
- Maintain program timelines, operational calendars, and implementation plans.
- Track onboarding, milestones, deliverables, and participant progress.
- Coordinate required documentation and participant records.
- Monitor deadlines and proactively follow up to keep programs on schedule.
- Student Experience
- Serve as the primary point of contact for student questions and support.
- Coordinate student onboarding, orientation, and ongoing communications.
- Monitor participation, learning progress, and internship completion.
- Ensure students understand expectations, deadlines, and available resources.
- Escalate concerns appropriately while maintaining an exceptional student experience.
- Employer Operations
- Partner closely with the Employer Partnerships Manager to ensure seamless internship implementation.
- Coordinate employer onboarding and operational communications.
- Manage internship logistics, scheduling, and required documentation.
- Coordinate employer follow-up throughout each internship cohort.
Skills Training & Learning Platform
- Coordinate student enrollment into Quant Hub's AI and data skill pathways.
- Monitor learner progress and credential completion.
- Support integration of learning activities into the internship experience.
- Help students navigate Quant Hub's learning platform and resources.
- AI-Enabled Operations & Continuous Improvement
- Utilize AI tools to improve communication, reporting, and recurring operational tasks.
- Recommend practical improvements to workflows and standard operating procedures.
- Support implementation of scalable processes as workforce programs continue to grow.
- Identify opportunities to improve efficiency while maintaining a high-quality participant experience.
- Data & Reporting
- Maintain accurate student, employer, and program records.
- Track participation and program metrics.
- Assist with grant reporting and stakeholder reporting.
- Ensure data quality across workforce program systems.
Qualifications
- Bachelor's degree in Education, Business, Communications, Project Management, Human Resources, or related field.
- 2-4 years of relevant program coordination, workforce, higher education, customer success, or nonprofit experience.
- Exceptional organizational and project management skills.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities in a fast-paced environment.
- High attention to detail.
- Strong proficiency with Microsoft Office, Google Workspace, and cloud collaboration tools.
Preferred
- Experience supporting internship, workforce, or education programs.
- Interest in education technology, AI, or workforce development.
- Experience with learning management systems, CRM platforms, or participant management systems.
- Experience coordinating events or multi-stakeholder initiatives.
- Familiarity with AI-powered productivity tools and workflow automation.
