Are you an experienced Administration & Finance Assistant looking for a varied role within a fast-moving business?
Our client is looking for someone with directly relevant experience in a similar/mirrored role, who can confidently support both the finance and administration functions, alongside client onboarding, project administration and day-to-day business operations.
This is a varied position suited to someone who is highly organised, proactive, accurate and comfortable managing multiple priorities.
Key Responsibilities
Finance & Client Administration
- Onboarding new clients and recording key information across databases and systems
- Providing standard information required for client system set-up
- Chasing purchase orders and raising sales invoices across project and accounting systems
- Recording invoice due dates and producing overdue reports
- Supporting with chasing outstanding paymentsMonitoring the Stripe payment portal, posting invoices and onboarding clients
- Maintaining the freelancer spend database and recording purchase invoices on project and accounting software
- Posting purchase invoices relating to overhead spend and expenses
- Posting accruals and prepayment journals
- Supporting purchase and sales ledger activities
Project & Business Administration
- Sending event invites to new members and managing the database
- Offboarding clients when required
- Preparing and circulating attendance reports for key calendar events
- Scheduling project meetings and managing attendee lists
- Assisting with project plans, templates and mapping critical paths
- Updating project trackers and maintaining action logs
- Managing key data, including forms, templates, client and prospective client databases
- Managing the shared mailbox, triaging emails and passing on key information
- Assisting with marketing campaigns and managing mailing lists
- Providing general administrative support across the business
- Completing ad-hoc finance and administration tasks as required
About You
You will have proven experience in a closely mirrored Administration & Finance role and be confident managing both finance and administrative responsibilities.
We're looking for someone with:
- Direct experience in a similar Administration & Finance Assistant / Finance Administrator / Accounts & Administration role
- Excellent organisational and administrative skills with strong attention to detail
- The ability to manage multiple tasks and deadlines simultaneously
- Strong follow-through and the confidence to diplomatically chase actions
- Clear and professional written and verbal communication skills
- Strong Microsoft 365 skills, particularly Excel, PowerPoint, Outlook and Teams
- An understanding of accounting software, purchase ledger and sales ledger
- A high degree of accuracy and confidentiality
- A proactive and self-motivated approach
- The ability to work independently and take ownership
- Confidence working in a fast-moving small business environment

This is not a role for someone looking to move into finance or administration for the first time. Candidates must have previous experience in a closely mirrored role, covering comparable finance and administrative responsibilities.
