Job Summary
The Front Office Receptionist will be responsible for accurate and timely patient registration utilizing medical systems, verifying appropriate patient insurance coverage, and delivering exceptional customer service to physicians, patients, and other medical professionals.
Essential Duties and Responsibilities
- Welcomes patients and visitors by greeting them in person or on the telephone, answering or referring enquiries.
- Notes patient arrival in Practice Management System (EMR).
- Identifies patients by date of birth and name in the computer system and creates a new account if the patient is not in the system.
- Prepares necessary patient paperwork prior to the patient’s appointment.
- Calls “No Show” appointments to reschedule, makes appropriate notations in Practice Management System and sends letters to patients when necessary.
- Optimizes patient satisfaction, provider time, and treatment room utilisation by scheduling appointments in person or by telephone and comforts patients by anticipating their anxieties and answering their questions.
- Helps in emergency situations by quickly responding to patients in distress using good reasoning and judgement.
- Reviews Practice Management System (EMR) for information that needs to be updated, works with patients to obtain updated information and accurately enters it.
- Identifies payer sources, verifies insurance eligibility, financial status and assigns the correct payor type; verifies if prior authorisation from insurance is required and notifies the Billing Department if necessary.
- Maintains the reception area clean and organised.
- Obtains revenue by recording and updating financial information, collecting patient copays and/or balances at check‑in/out.
- Protects patients’ rights by maintaining confidentiality of personal and financial information.
- Maintains operations by following policies and procedures and reports changes as needed.
- Contributes to the team effort by accomplishing related results, as needed.
- Routinely demonstrates superior customer‑service skills.
- Answers the telephone in a timely and polite manner.
- Communicates with patients, visitors, providers and team members in a courteous, professional, cooperative and mature manner.
- May participate in supporting the clinic’s social‑media presence, including gathering content, sharing clinic‑approved updates and assisting with community‑engagement efforts as directed.

Qualifications
