Reports to: Operations and Health & Safety Manager

Direct Reports: None

Hours: Full-time. Work schedule aligned with stadium events, including occasional evening and weekend work as necessary.

Job Purpose

Support the Operations team to ensure the smooth running of day-to-day operations, football fixtures, and other events. Act as a nominated Health and Safety Representative to ensure compliance with relevant rules and regulations (training will be provided as required).

Key Duties

A. Matchday / Event Duties

  • Support event setup and breakdown, including seating, signage, and temporary installations.
  • Respond to operational issues during events to minimise disruption.
  • Assist with crowd control infrastructure (barriers, gates, turnstiles, TMO) and ensure safety compliance.
  • Draft communications to local residents as required.
  • Prepare information posters and notices for residents.
  • Facilitate broadcasters’ site visits on pre‑rig and broadcast days.
  • Raise documentation for local authority Traffic Management Orders to support matchday traffic and parking arrangements.

B. Main Duties (Non‑Events)

  • Conduct routine checks and preventative maintenance.
  • Coordinate facilities management tasks to ensure safe and legal stadium operation.
  • Operate, inspect, and maintain machinery and equipment.
  • Respond quickly to faults and operational issues.
  • Perform or arrange inspections and maintenance of stadium equipment.
  • Maintain detailed records of operations, maintenance, and events.
  • Manage sub‑contractors (hard and soft services).
  • Keep accurate maintenance logs and records of system performance.
  • Administer complaints procedures and draft responses.
  • Manage stationery orders, records, and deliveries.
  • Maintain company car records and liaise with insurance brokers.
  • Collaborate with security, cleaning, and event teams for operational readiness.
  • Provide cover at the training ground as required.
  • Comply with all company policies, procedures, and H&S requirements.
  • Maintain the operations inbox and order consumables for staff.
  • Carry out any other duties within the scope of the role.

C. Budgeting

  • Record and validate invoices against delivered services.
  • Assess contractor works and materials for value by obtaining three quotes where necessary.

D. Health & Safety

  • Act as a nominated Health and Safety representative for the Club.
  • Maintain and monitor records for compliance, certification, and licences.
  • Assist with quarterly Health and Safety staff representative meetings.

E. Projects

  • Assist with system installations, upgrades, and modifications.
  • Collaborate with the IT team to ensure reliability and security of technology systems (networks, ticketing, communications, AV, etc.).
  • Support infrastructure and operational projects.
  • Participate in the appraisal process.

Experience

  • Previous experience within a facilities background, covering both hard and soft services.
  • Demonstrable interest in and understanding of Health and Safety regulations.
  • Strong communication skills, able to represent the Company effectively at all levels.
  • Ability to accurately determine needs and provide relevant guidance and information.
  • High level of administrative skill and accuracy, with ability to create systems and maintain detailed records.
  • Excellent organisational skills, able to manage own workload and meet statutory or operational deadlines.
  • Good working knowledge of standard office software, including Word (mail merge), Excel (spreadsheets for record keeping), and MS Publisher (for posters, signs, and notices).
  • Aptitude to learn and use specialist operational software (training provided).
  • Ability to prioritise tasks and work to critical timescales.
  • Strong attention to detail and commitment to quality.
  • Willingness to participate in a call‑out rota as required.
  • High standard of oral communication and written English.
  • Understanding of Health and Safety regulations such as COSHH, security requirements, PPM compliance standards, and facilities regulations.
  • IOSH or NEBOSH qualification (or willingness to complete within the first year of employment).
