Join us as a receptionist on a 12-month fixed term contract at our Boscombe Down site in Amesbury, Wiltshire.
Role Purpose
Undertake a range of reception duties across the business, always presenting a positive image of QinetiQ and ensuring that processes and procedures are continuously followed.
Key Accountabilities
- Demonstrate understanding of the concepts of Reception and customer services
- Uphold the site security requirements in relation to contractors and site visitors as the first line of defence for security compliance
- Act as the face of QinetiQ Boscombe Down for all visitors to site and ensure an exceptional visitors experience whilst in reception
- Ensure quality of output from self, and others where appropriate
- Identify issues within own remit and use standard practice to resolve where appropriate
- Communicate and exchange information using tact and diplomacy
- Demonstrate understanding of how the team integrates with others to accomplish objectives
- Ensure a prompt and polite service for all contractors and visitors while maintaining site access requirements and ensuring a positive customer experience
Outputs
- Perform daily checks to ensure visitors are booked onto site in advance with all required detail provided
- Greet visitors at reception and book them onto site
- Contact contractor hosts and escorts to ensure site access rules are upheld at all times
- Maintain a range of records, entering, collating and organising data using standard methods to assist with data analysis
- Provide reception service and assistance to internal and external customers
- Manage a large volume of calls and emails
- Administration of complex visitor bookings, including contractors, VIPs and groups
- Provide support to groups of visitors, e.g. booking onto site, using standard procedures and in line with health and safety and security requirements
- Liaise effectively with visitor hosts and escorts
- Assist team members with the organisation of events
- Make diary entries accurately and clearly
- Photocopying, printing, shredding etc. in accordance with health and safety instructions
- Provide holiday/sickness cover for other members of the team as required across the site operations function
- Provide additional support to the BCE Site Operations Function as required
- Produce all hard passes for Contractors, QinetiQ staff, permanent contractors and resident lodgers in line with guidance from Site office and Security
- Manage stock items for reception and the systems (SYSIS, SATEON etc) ensuring we do not run out
- Keep up to date with procedures for both Contractor Control and Main Reception

Experience & Qualifications

- Experience in a customer facing role, contractor control or reception environment
- Demonstrable business administration experience equivalent to NVQ Level 3

- Business admin or customer service qualification to NVQ Level 3
- Security clearance a distinct advantage
