Overview

Key Duties and Responsibilities

  • Manage correspondence and administrative matters, responding independently to routine issues and escalating complex matters as directed by the Headteacher.
  • Organise and coordinate meetings on behalf of the Headteacher, including preparing agendas, distributing papers, and ensuring all arrangements are in place.
  • Arrange travel and accommodation for the Headteacher as required.
  • Attend meetings as requested, accurately record minutes, and distribute them promptly.
  • Undertake specific projects and research as directed by the Headteacher.
  • Maintain the Headteacher’s diary, ensuring effective scheduling and prioritisation of commitments.
  • Manage the Headteacher’s emails and communications professionally and efficiently.
  • Maintain filing systems to ensure documents are organised and accessible.
  • Act as a key point of contact between the Headteacher, staff, students, parents, carers, visitors, and the Trust, always ensuring clear and professional communication.
  • Receive and make telephone calls on behalf of the Headteacher, handling enquiries and redirecting calls where appropriate.
  • Welcome visitors to the school and provide hospitality as required.
  • Coordinate recruitment processes in consultation with the Headteacher and the Trust.
  • Maintain the academy’s calendar of events and activities.
  • Keep the academy website up to date in line with legislative requirements and Trust guidance.
  • Support the organisation of significant school events as directed by the Headteacher.
  • Assist with admissions, suspensions, and permanent exclusion processes.
  • Maintain key documents such as the School Evaluation Form (SEF), Improvement Plan, and Pupil Premium Strategy as directed.
  • Gather and present information for the Headteacher, including management and financial data.
  • Line manage the administration and reprographics teams, ensuring efficient and effective service delivery.

Qualifications

  • Maintain strict confidentiality and adhere to data protection legislation and associated Trust policies at all times.
  • Demonstrate a clear understanding of, and commitment to, safeguarding and child protection, maintaining an awareness of relevant procedures and responsibilities.
  • Comply with the Trust’s Health and Safety Policy and ensure safe working practices in the performance of all duties.
  • Uphold and promote the principles of the Trust’s Equal Opportunities Policy in all aspects of the role.
  • Adhere to all other relevant Trust and school policies and procedures.
  • Undertake any training and professional development necessary to effectively carry out the duties of the post.
  • Perform any other reasonable duties commensurate with the level and responsibilities of the role, as required by the Trust.
